Full Job Description

Job Summary: The Office Clerk is responsible in providing assistance to the office in all clerical functions and responsible in handling the front office – in greeting, welcoming, and directing visitors appropriately.

Essential Functions:

1. Provides clerical assistance as needed for the home health organization;

2. Maintains files, supplies and general office condition in an orderly manner as directed by the Supervisor;

3. Orders and maintains adequate inventory of regular office supplies needed in the office and notifies the Supervisor to approve order to restock;

4. Provides assistance in preparing Start of Care (SOC) packets;

5. Responsible for handling the reception front office maintaining positive ambiance with incoming visitors and all personnel staff;

6. Monitors the maintenance of safe and clean reception and conference room area by complying with procedures, rules and regulations;

7. Welcomes callers and visitors by greeting them, in person or on the telephone, directs visitors/ phone calls appropriately to the respective employee or department;

8. Monitors visitor’s logbook;

9. Assists in setting appointments and arranging meetings and company events as needed;

10. Assists in maintaining calendar of conference room meetings;

11. Makes food and drink arrangements for meetings and visitors by ordering and organizing food trays, snacks, preparing drinks, tea and coffee as requested. Requests assistance if needed.

12. Maintains confidentiality in all aspects of the job;

13. Other duties as assigned by the Supervisor.

Knowledge, Skill and Experience:

1. Minimum education (or substitute experience) required: Must possess, as a minimum, a high school diploma or equivalent (GED);

2. General knowledge and experience of typing, telephone skills and office machines;

3. Computer and Microsoft Office Skills;

4. Demonstrates autonomy, assertiveness, flexibility, multi-tasking, cooperation and attention to details in performing job responsibilities;

5. With effective and efficient social interaction skills;

6. With good oral and written communication skills.

Physical Job Description

Typical Working Conditions: Typical office environment – no unusual exposures.

Equipment Used: Computer keyboard, telephone, fax machine, copier, projector.

Essential Physical Tasks: Must occasionally carry boxes of patient information documents weighing approximately 30 lbs. work at computer monitors for prolonged periods must guard against eyestrain and muscle pain.

Schedule:

8 hour shift

Monday to Friday

Work Location: In person
