Job Summary

Office Manager / Bookkeeper

Approximately 20 hours per week, with a flexible schedule of 3-4 days per week

Compensation: $25- $30 per hour depending on experience and qualifications

Position Summary

We are seeking a highly organized, detail-oriented Office Manager/Bookkeeper to oversee the daily administrative and financial operations of a growing architecture, property management, and real estate investment business located in Park City, UT. This individual will manage bookkeeping, office operations, vendor relationships, client communication, and property management support while ensuring efficient day-to-day business operations.

Primary Responsibilities

Bookkeeping & Accounting

Manage accounts payable and accounts receivable for multiple companies using QuickBooks.
Prepare and distribute client invoices and process customer payments.
Receive, record, and deposit payments in a timely manner.
Maintain vendor accounts and ensure invoices are paid on schedule.
Process American Express transactions and maintain accurate expense records.
Coordinate with the company’s accountant as needed.
Assist with payroll processing and employee payroll setup.

Property Management Administration

Coordinate building maintenance, repairs, and preventative maintenance.
Source, schedule, and communicate with subcontractors and vendors.
Manage annual maintenance contracts and inspections.
Process tenant and homeowner payments.
Maintain positive relationships with tenants, homeowners, vendors, and contractors.
Respond promptly to property-related questions and requests.
Assist with homeowner and tenant communications.

Office Administration

Manage office correspondence including emails, phone calls, and mail.
Maintain office supplies and coordinate office purchasing.
Keep office records organized and current.
Maintain client files, contracts, and digital records.
Create new client files and ensure accurate contact information is maintained.

Client & Project Support

Maintain client databases and project records.
Assist with permit applications and administrative project support.
Coordinate insurance certificates (COIs) and required documentation from subcontractors.
Maintain business licenses, insurance policies, and compliance records.

Vendor & Contractor Coordination

Develop and maintain strong relationships with vendors and service providers.
Ensure vendors meet insurance and documentation requirements.

Qualifications

Previous experience in office management, bookkeeping, or business administration.
Proficiency in QuickBooks.
Strong understanding of accounts payable and accounts receivable.
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Ability to manage multiple priorities with minimal supervision.
Experience with Microsoft Office (Excel, Outlook, Word), OneDrive, and OneNote.
Professional, dependable, and detail-oriented.

Preferred Experience

Property management experience.
Construction, architecture, or real estate industry experience.
Payroll processing experience.
Familiarity with contract administration and vendor management.

Pay: $25.00 - $30.00 per hour
