Job Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Manage multi-line phone systems, directing calls efficiently and courteously
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized filing systems and manage data entry tasks with accuracy using spreadsheets and productivity software
Schedule appointments, manage calendars, and coordinate meetings for staff and clients
Support office management tasks such as inventory tracking, supply ordering, and document proofreading
Utilize computer skills to prepare Word documents, spreadsheets, and reports as needed
Assist with client communication efforts to enhance customer support and satisfaction

Qualifications

Proven clerical experience or office experience with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Excellent phone etiquette with experience operating multi-line phone systems
Bilingual abilities are a plus to serve diverse client needs effectively
Strong data entry skills with high accuracy; familiarity with QuickBooks is advantageous for basic bookkeeping tasks
Demonstrated ability to manage time efficiently and prioritize tasks in a fast-paced environment
Technical proficiency in computer literacy, including typing speed and proofreading capabilities
Previous experience in customer service or front desk roles is highly desirable
Exceptional organizational skills combined with a professional demeanor and positive attitude
