Full Job Description

Overview:

We are seeking an experienced and dedicated Medical Office Manager to oversee the day-to-day operations of our medical facilities. The successful candidate will play a crucial role in maintaining efficient and effective administrative processes while ensuring a high standard of patient care. Ideal candidate should have experience in Illinois Vaccines for Children (VFC) program requirements. Responsibilities:

Administrative Management:

Supervise and coordinate the daily operations of the medical office.
Oversee front desk activities, including appointment scheduling, patient registration, and billing processes.
Manage medical records, ensuring accuracy, confidentiality, and compliance with regulations.

Staff Supervision and Training:

Creating monthly schedule for support staff and providers across multiple offices
Recruit, train, and supervise administrative and support staff.
Conduct performance evaluations and provide ongoing feedback to optimize team performance.
Foster a positive and collaborative work environment.

Patient and Client Relations:

Ensure exceptional patient experiences by addressing inquiries, concerns, and feedback.
Implement strategies to enhance patient satisfaction and loyalty.

Regulatory Compliance:

Stay current with healthcare regulations and ensure the medical practice's compliance.
Implement and update policies and procedures to meet industry standards.
Responsible for overseeing clinic operations in alignment with Illinois Vaccines for Children (VFC) program requirements, including ensuring proper patient eligibility screening, vaccine storage and handling, regulatory compliance, and accurate documentation. Ensures staff are trained on VFC policies, maintains adherence to IDPH/CDPH guidelines, and supports timely reporting, inventory management, and audit readiness to meet state and federal immunization standards

Technology Integration:

Oversee the integration and optimization of electronic health records (EHR) and other relevant technologies.

Facility Maintenance:

Coordinate maintenance and safety procedures to ensure a clean, safe, and welcoming environment for patients and staff.

Collaboration with Healthcare Providers:

Work closely with healthcare providers to streamline workflows and enhance overall patient care.
Facilitate effective communication between administrative and clinical staff.

Requirements:

Proven experience as a Medical Office Manager .
Strong knowledge of medical office procedures, regulations, and billing practices.
Excellent organizational and leadership skills.
Effective communication and interpersonal abilities.
Proficient in the use of healthcare management software.
Understanding of healthcare compliance and regulatory requirements particularly vaccination.
Bachelor’s degree in healthcare administration, business administration, or a related field (preferred).
