POSITION SUMMARY: First impression of the company and is responsible for that perception from the way the phone is answered to how the front office is presented. Provides support for a wide variety of tasks associated with the company’s administrative needs for the overall office, and accounting on a day-to-day basis.
Daily Duties and Responsibilities include, but are not limited to:
General Office Administration
· Coordinates front desk administration, including opening and closing office, answering phones and greeting visitor, maintenance of all office equipment, including phone system, camera/security system, copiers/faxes, and overall general housekeeping.
· Answer, screen, and route calls on a multi-line phone system.
· Open, sort and route mail as directed.
· Log incoming AR checks into check log and route to accounting for deposit
· Responsible for inventory, ordering and maintaining office supplies (Amazon/Costco, OPA)
· Assists with calendar management, meetings, and travel plans
· Create and distribute correspondence or spreadsheets as requested
· Maintain and distribute as needed office directory
· Monitors and maintains incoming “Info” and “Fax” emails and ensures they are properly routed
· Responsible for tracking and celebrating employee birthdays and anniversaries (cards/gifts, etc.)
· Assists to maintain databases as requested
Accounting/Project Management
· Basic data entry for Accounting
· Create and assist to maintain Lien Worksheets for Subcontractors on current projects
· Collect, review and for accuracy, and track lien waivers for subcontractors, suppliers and their 2nd tiers.
· Responsible for assisting contract administrator and accounting with collection and filing of project compliance documents, utilizing GCPay.
· Match POs with incoming packing slips.
· Assist in collecting credit card receipts and matching credit card statements.
· Subcontract/Material PO check-in, logging, and routing.
· Monitors “Contracts” email and sorts attachments into appropriate (F:) Drive folder for approvals by Contract Admin/AP and associated filing
MISC.
- Provide backup estimating assistant support
- Data entry, filing (Accounting Documents)
- Assists in other departments as needed (additional duties as may be assigned)

Experience/Qualifications:
EDUCATION/ CERTIFICATION: Associate’s degree in accounting, preferred
Required Knowledge: 2-4 years of accounting experience minimum
EXPERIENCE REQUIRED: Sage 300/Sage Intacct Experience Preferred
Experience With Third Party Payment Systems
Office 365 Experience
Understanding of Basic Accounting Principles and Best Practices
