Full Job Description

The Bookkeeper / Accounting Assistant is responsible for entering accounting information into QuickBooks Online and working with the company Accountant to reconcile accounts and produce financial statements. This position also works with job coordinators to assist in booking and confirming independent contractors for work on client jobs.

Duties and Responsibilities

Record purchase invoices and credit card activities in QuickBooks
Enter job activity, including vendor bills for independent contractors
Work with job coordinators to contact potential contractors and schedule them for work on jobs across the country
Collect and confirm information about independent contractors and update database as needed.
Confirm job schedules with contractors and collect payment information
Responsible for special projects as requested by management and other duties/ responsibilities as assigned to meet the ongoing needs of the organization

Additional Job Skills

Bachelor degree, preferably in Accounting or Business Administration. Any combination of education, training and experience that demonstrates the ability to perform the duties of the position may be considered.
Motivated self-starter and effective multi-tasker with the ability to prioritize and organize effectively
The ability to effectively and professionally communicate with independent contractors, office staff and management
Experience in using QuickBooks Online, Microsoft Excel and Word as well as the Google Workspace Apps. Experience with contact relationship systems is a plus.
Possess the ability, willingness and desire to learn scheduling software.
Eligible to legally work in the United States
Ability to thrive in a team environment.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule.

As a Bookkeeper / Accounting Assistant, you will be essential in maintaining accurate financial records and supporting the administrative functions of the organization. Reporting to the Finance Manager, your core skills in accounting, GAAP, and bookkeeping will ensure precise balance sheet reconciliation and general ledger accounting. Proficiency in QuickBooks and Microsoft Excel will enhance your ability to generate financial reports and manage accounts payable and receivable. Your organizational skills and a Bachelor’s degree in Business Administration will enable you to thrive in a fast-paced environment, contributing to the overall efficiency and success of our team.
