Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role involves providing exceptional administrative support ensuring smooth office operations, and delivering outstanding customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will handle a variety of clerical tasks, manage schedules, and serve as the first point of contact for visitors and clients. Your proactive approach and positive attitude will help foster an efficient and welcoming office environment.

Responsibilities

Manage front desk duties, including greeting visitors, answering phone systems, and directing calls with professional phone etiquette
Scanning to digital files, and maintain accurate records using Microsoft Office, Smart Vault, Google Workspace, and other office management tools
Coordinate calendar management and schedule appointments for the office.
Support office management by overseeing supply inventory, organizing documents, and ensuring the office environment remains organized and efficient
Provide customer support through clear communication, problem-solving, and timely follow-up. Communication is the key to success
Proofread documents for accuracy and clarity before distribution or submission
Handle clerical tasks such as mailing, emails, and managing incoming/outgoing correspondence

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Experience with multi-line phone systems and phone etiquette to ensure professional communication
Previous office experience or administrative experience is highly desirable
Exceptional typing speed and accuracy for data entry tasks
Strong attention to detail for proofreading documents and managing files, accuracy is a must.
Effective time management skills to handle multiple responsibilities efficiently
