Full Job Description

Description:

The Administrative Assistant will provide on-site administrative support services for the Personnel Reliability Program office at Marine Corps Security Force Battalion, Kings Bay, Georgia. This position will support PRP Certifying Officials with day-to-day administrative functions, records management, database entry, training tracking, correspondence, documentation routing, and PRP office support.

The successful candidate will play a critical role in supporting a mission-essential program tied to the safety and security of the nation’s undersea nuclear strategic deterrent. This role requires strong administrative skills, attention to detail, professionalism, discretion, and the ability to work in a high-security military environment.

The Administrative Assistant will support PRP office operations during routine daily activity as well as during inspections, reviews, and mission-critical program requirements. The individual will act as a PRP office representative during the absence of PRP Certifying Officials for routine administrative matters, but will not make PRP status decisions.

Key Responsibilities

PRP Administrative Support

Perform day-to-day administrative functions for the PRP office.
Generate paperwork for PRP suspensions, decertifications, reinstatements, and temporary status actions.
Route PRP documents and ensure required paperwork is processed appropriately.
Create derogatory information folders for newly reporting personnel.
Maintain PRP folders by updating all documentation that affects PRP status.
Match personnel medical and dental records with derogatory records for review by PRP Certifying Officials.
Maintain accountability of records in possession of the PRP office.
Pick up PRP correspondence from MCSFBn administrative and mail room offices.
Maintain PRP office spaces and support general office organization.

Database Management & Records Tracking

Update PRP and Readiness Insight databases as required.
Enter newly arriving personnel into the PRP database.
Generate and track database queries for PRP program functions, including record reviews, orientation rosters, inspection rosters, PRP rosters, and related reports.
Update database information related to initial and annual PRP training requirements.
Ensure data entry is accurate, timely, and consistent with PRP office procedures.
Support tracking of records, program actions, and administrative documentation.

Training & Program Support

Track and document initial and annual PRP training.
Assist with annual PRP training and initial PRP orientation training.
Coordinate with appropriate personnel to ensure training records and rosters are current.
Support inspection and review preparation by maintaining accurate PRP documentation and program records.

Medical Records Coordination

Coordinate with battalion medical personnel to support health record accountability.
Assist with tracking records related to medical visits.
Organize and prepare records for Certifying Official review.
Support the administrative flow of PRP-related medical and dental documentation.

Office Communication & Customer Service

Communicate with companies and platoons to request personnel, documentation, or supervisory representatives for PRP office matters.
Field questions from personnel regarding PRP requirements, including documentation needed for reinstatement or other administrative actions.
Answer phones, receive office visitors, and support face-to-face communication with personnel at all levels of the command.
Control office foot traffic for routine actions, including badge handling before personnel report to medical, dental, leave, TAD, TDY, or related activities.
Act as the PRP office representative during the absence of PRP Certifying Officials for routine administrative transactions, such as providing information, taking PRP badges, and answering phone calls.

General Administrative Duties

Perform filing, typing, copying, document preparation, phone coverage, and general clerical support.
Maintain organized paper and electronic records.
Support correspondence, reports, rosters, office files, and administrative logs.
Ensure contractor-produced documents and reports are properly identified as contractor work products.
Maintain professionalism, discretion, and compliance with applicable policies when interacting with military, civilian, and contractor personnel.

Requirements:

Minimum of two years of experience as a certified PRP member is strongly preferred.
General office administrative experience, including filing, typing, copying, answering phones, and customer service.
Experience performing accurate database entry and records maintenance.
Ability to communicate effectively by phone and face-to-face with personnel at all levels of a military command.
Ability to work in a high-security, mission-critical environment.
Ability to lift at least 30 pounds.
Valid state driver’s license.
Ability to maintain a Secret security clearance.

Preferred Qualifications

At least one year of experience as a PRP monitor, PRP clerk, or administrative assistant within an active PRP office.
Prior military, DoD, Marine Corps, Navy, or nuclear weapons PRP environment experience.
Familiarity with PRP documentation, PRP rosters, derogatory information folders, training tracking, and readiness databases.
Experience supporting inspections, program reviews, or compliance-driven administrative programs.
Experience working with sensitive personnel information, Controlled Unclassified Information, and Personally Identifiable Information.
