Full Job Description

Overview

We are seeking a highly organized and detail-oriented Bookeeper and Office Manager to oversee our office operations and prepare detailed and accurate financial records for 3-4 combined companies. The ideal candidate will possess strong accounting skills and be proficient in Quickbooks Enterprise (Desktop). We are looking for an experienced individual to can help elevate and streamline our combined operations while maintaining excellent financial records and supporting the overall administrative functions of the office.

Responsibilities

1. Accounts payable data entry

2. Manage the bill payment process including approval

3. Manage inventory receipts with purchase orders and bills (3-way matching)

4. Manage accounts receivable and bank deposits

5. Review credit card usage and establish expense reporting guidelines

6. General ledger maintenance

7. Preparing monthly P&L and balance sheet for owner review

8. Performs Payroll and payroll tax filings

9. Sales/use tax filings

10. Coordination with outside CPA for year-end/tax returns

11. Executes Intercompany transactions between businesses

12. Manage general business overhead (license, registrations, utilities, bookings, and other monthly services)

Qualifications

Proven experience maintaining complete books for a group of companies with accountability to the owner
Additional experience as an Office Manager or in a similar administrative role.
Strong knowledge of accounting principles, including double entry bookkeeping and financial concepts.
Proficiency in accounting software (QuickBooks Enterprise/Desktop) is essential.
Excellent organizational skills with a keen attention to detail.
Strong communication skills, both written and verbal.
Ability to work independently and manage multiple tasks effectively.

Schedule: We are looking to start with someone MWF (three days a week) 4 hours a day, and expand to 5 days a week as required.

This job will require a background check and a non-disclosure agreement.

Job Type: Part-time

Pay: $25.00 - $30.00 per hour
