Established in 1999, Commonwealth Equipment is a leading distributor of material processing heavy equipment, serving customers from New York through South Carolina. Commonwealth Equipment has approximately eighty-five employees and four physical locations, with corporate headquarters based in Ashley, PA. Our mission stems from a desire to provide the finest level of equipment, service, and parts to every customer.

Job Summary

An essential part of our finance team, the Billing Rep will bring a proactive approach to the management of customer rentals and sales accounts.

Our ideal candidate has impeccable organizational skills, a great personality, and a keen eye for detail.

This position ensures customers receive invoices in a timely manner, that billing information is recorded quickly and accurately within our systems, and that information is shared efficiently throughout the organization – all while maintaining a personable demeanor.

Duties/Responsibilities

· Perform all functions of customer billing, from creating rental and sales records, to generating and sending invoices, collecting billing data, and updating systems accordingly

· Act as the intermediary between the finance department and the sales staff / customers

· Keep in constant contact with sales representatives working in the field with customers

· Obtain approval for credit request

· Contact customers as needed

· Identify and escalate billing concerns to the appropriate person within the company

· Coordinate on accounts with sales and finance departments

· Maintain detailed records of machinery movement, reservations by salesmen, and updates on availability

· Maintain excellent organization of machine data

· Respond to salesmen requests for billing and payment information

· Billing overtime hours as needed, as per contract

· Work closely with our Inside Sales and AR department

· Run reports so you can contact your assigned sales reps on invoicing questions

· Transport Schedule Updates

· Run sold/paid reports

Qualifications, Education and Experience

US work authorization (required)
Associates degree in Accounting, Business Administration, or combination of education and relevant experience preferred
2+ years of collections experience desired.

Required Skills/Abilities

Excellent verbal and written communication skills.
Excellent interpersonal, negotiation, and conflict resolution skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Strong analytical and problem-solving skills.
Proficient with Microsoft Office.
Proficiency with ERP and billing software
