Full Job Description

Lower School Office Manager

Role Title: Lower School Office Manager

Exempt/Non-Exempt: Non-Exempt

Reports to: Lower School Director

Direct Reports: None

Main Purpose of the Role

The Lower School Office Manager is responsible for managing and coordinating day-to-day administrative functions while simultaneously addressing the needs of students and parents and supporting the staff, faculty, and Lower School Administration in the Lower School office.

Key Responsibilities:

● Responsible for all LS Registrar functions in coordination with the school registrar, ensuring academic quality and data entry for student record files.

● Manages LS events in the school calendar system, coordinating dates, venues, and related needs;

● In coordination with the grade leads and administration, organizes the major end-of-year Kindergarten and 5th-grade events and all related needs;

● Works with marketing to create and publish invites, programs, flyers, and posters as needed;

● Assists LS administration with scheduling, including managing the process in iSams (SIS system);

● Communicates with new families through onboarding, including fielding calls and inquiries regarding the LS division;

● Assists with the preparation of faculty and parent email communications in iSams;

● Manages Lower School budget, including reconciling school credit card purchases, managing spreadsheets and preparing and submitting expense reports;

● Provides faculty support regarding maintaining supplies, ordering office supplies and teacher resources, booking field trips;

● Assists with planning of Faculty Meeting preparations, including refreshments, agenda, materials, and documentation;

● Plans for LS division celebrations, including refreshments and decor, as needed;

● Is responsible for stocking and maintaining LS resource closets and workroom/mailroom areas;

● Participates in the emergency management system and safety drills as assigned;

● Responsible for covering the LS front desk during lunch and absences;

● Supports LS administration with social media content

● Completes special projects and other duties as assigned

Qualifications:

● Bachelor’s degree preferred

● Minimum of 3 years of experience in administrative support

● Ability to take initiative and work independently as needed

● Ability to multitask and work well in a fast-paced environment

● Work collaboratively with faculty, staff, and administration

● Excellent communication, interpersonal, and judgment skills

● Ability to filter and prioritize communications

● Excellent organizational skills

● Proficiency in Google and Microsoft

● Excellent problem-solving skills and the ability to troubleshoot technical issues

● Experience managing Student Information Systems (SIS) and Learning Management Systems (LMS).

● Must be able to create a management system whereby information is complete, thorough, well-documented, and easily accessible

● Ability to work in a confidential environment

● Attention to detail
