Job Description

Very busy, successful law office is seeking a proactive, reliable, and detail-oriented Legal Receptionist / Legal Assistant to join our team.

This is an important position within our office and is ideal for someone who is highly organized, professional, comfortable working in a fast-paced environment, and interested in developing a career in the legal field. The successful candidate will provide both front-office and legal support and will play an important role in helping ensure that client matters are handled efficiently, accurately, and professionally.

Responsibilities will range from answering phones, communicating with clients, scheduling, maintaining case files, processing documents, and general office administration to assisting attorneys with case preparation, legal documents, court filings, discovery, and hearing and trial preparation.

The position requires someone who can manage multiple responsibilities, recognize and prioritize time-sensitive tasks, follow through on assignments, maintain confidentiality, and communicate effectively with attorneys, clients, courts, and other professionals.

Prior legal experience is helpful, particularly experience in family or domestic relations law, but is not required. We are willing to train the right person who demonstrates strong organizational and communication skills, attention to detail, reliability, initiative, good judgment, and a genuine willingness to learn.

Duties and Responsibilities

Responsibilities include, but are not limited to:

Answering incoming telephone calls and communicating professionally and courteously with clients, attorneys, court staff, and other parties;
Greeting clients and assisting with general reception duties;
Managing client communications by phone, email, and in person while maintaining professionalism and appropriate confidentiality;
Scheduling appointments, maintaining calendars, tracking deadlines, and assisting with time-sensitive case management;
Drafting, formatting, reviewing, and proofreading pleadings, motions, correspondence, discovery documents, and other legal documents;
Assisting attorneys with case preparation, legal research, and gathering and organizing information and documents;
Preparing and processing documents for filing with courts and other agencies;
Assisting with monitoring procedural requirements and ensuring documents and assignments are completed in advance of applicable deadlines;
Maintaining accurate and organized electronic and physical case files;
Scanning, saving, naming, organizing, and processing incoming and outgoing documents and correspondence;
Performing accurate and efficient data entry and maintaining current case information within the office’s case-management system;
Assisting with discovery, including organizing documents, compiling information, and preparing materials for attorney review;
Assisting with preparation for hearings and trials, including organizing exhibits, preparing trial materials, and compiling relevant case information;
Preparing materials for attorney-client meetings and assisting attorneys with follow-up tasks;
Accepting and processing client payments;
Communicating and coordinating with courts, opposing counsel, attorneys, outside agencies, service providers, and other professionals;
Handling confidential and sensitive client information with discretion and maintaining strict confidentiality;
Running occasional office-related errands;
Assisting with general office organization and light housekeeping;
Helping maintain an organized and efficient workflow within the office; and
Performing other legal and administrative tasks as needed.

Qualifications and Skills

The successful applicant should possess:

Strong computer skills, including experience with Microsoft Office, email, internet-based programs, and general office technology;
The ability to learn and effectively use legal case-management, document-management, and electronic filing systems;
Excellent verbal and written communication skills;
Professional and courteous telephone and email etiquette;
Strong organizational and time-management skills;
Excellent attention to detail and accuracy;
Strong proofreading skills and the ability to identify errors or inconsistencies in written documents;
Ability to follow written and oral instructions accurately;
Ability to organize and prioritize multiple tasks while meeting deadlines;
Ability to work efficiently in a fast-paced environment where priorities may change throughout the day;
Ability to work independently with minimal supervision while also functioning effectively as part of a team;
Initiative and the ability to recognize tasks that need attention and follow through to completion;
Strong problem-solving skills and good judgment;
Ability to handle confidential and sensitive information appropriately and discreetly;
Ability to interact with clients and members of the public in a pleasant, tactful, patient, and professional manner;
Ability to establish and maintain appropriate professional relationships with courts, attorneys, outside agencies, and other professionals;
Reliability, punctuality, initiative, and a strong work ethic; and
A willingness and ability to continually learn new skills, procedures, and areas of responsibility.

Preferred Experience

Basic knowledge of the legal system and prior experience working in a law office are helpful but not required.

Experience or familiarity with any of the following is a plus:

Family law or domestic relations matters;
Legal document preparation and proofreading;
Court filing procedures and electronic filing systems;
Discovery and litigation support;
Legal research;
Case-management or document-management software;
Maintaining attorney calendars and tracking court deadlines; and
Professional office administration.

The advertised pay rate reflects an entry-level position. Compensation may increase over time based upon performance, ability, experience, and advancement within the office.
