Job Summary

We are seeking an energetic and highly organized Office Manager to oversee the daily operations of our busy office environment. In this vital role, you will serve as the central point of contact for administrative support, ensuring smooth communication, efficient workflow, and a welcoming atmosphere for clients and staff alike. Your proactive approach and exceptional organizational skills will help foster a productive workplace, support team collaboration, and maintain office excellence. This paid position offers an exciting opportunity to lead administrative functions while contributing to the overall success of our organization.

Responsibilities

· Run the front desk, greet the public & provide direction, answer phones & sort mail

· Order & organize supplies

· Filing, researching, familiar with using Excel, Microsoft Word & QuickBooks.

· Able to balance & reconcile bank statements

· Self-motivated

· Must have a reliable vehicle to run errands, bank deposits, post office etc.

· Enter invoices, payroll & pay bills

· Research & order appliances

· Work with Realtors – Commissions, Close-outs & bills

· Keep yard & plants watered

· Keep private Company & Worker facts safe.

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Oversee office supplies inventory, place orders, and maintain equipment to ensure seamless daily operations.
Handle data entry tasks with accuracy using spreadsheets and word processing applications; assist with proofreading documents for clarity and correctness.
Support client communication efforts by providing excellent customer service and timely responses via phone or email.
Maintain organized filing systems, prepare reports, and perform clerical tasks such as copying, scanning, and document management.

Experience

Proven office management or administrative experience in a fast-paced environment.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Experience using QuickBooks or similar accounting software is preferred.
Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail.
Demonstrated customer service skills with a professional demeanor in front desk or client-facing roles.
