What do we do?
Our goal at American Pain Consortium is to support our clinics that help patients seeking relief from pain, numbness, and tingling sensations that are often related to neuropathic pain or neuropathy, among many other forms of chronic pain. Even patients who have tried other pain treatments without success often benefit significantly from safe, effective treatment at American Pain Consortium. Our clinical multidisciplinary approach to care delivers the correct intervention to every patient, every time through various pain management procedures including injections, open surgical cases with general anesthesia, physical therapy, and psychological services. Job Summary
The ASC Access Specialist plays a vital role in ensuring seamless access and coordination for patients receiving care in our Ambulatory Surgery Centers (ASC). This position is responsible for scheduling surgeries and procedures, verifying insurance, obtaining medical clearances, collecting copays, and ensuring all pre-operative requirements are complete. The ASC Access Specialist collaborates closely with clinical, pre-certification, billing, and administrative teams to optimize the surgical schedule and provide an exceptional patient experience from check-in through post-procedure coordination.
This position is part time with scheduled hours Monday, Tuesday, and Wednesday between 24 - 28 hours per week.
Essential Duties & Responsibilities (What You’ll Do)
Patient Access & Coordination
- Check in and check out patients for surgeries and procedures.
- Complete patient registration, including demographic and insurance verification.
- Collect and post patient copays and balances per APC financial policies.
- Accurately obtain and scan all insurance cards and photo identification into the EMR.
- Assist patients with completing required paperwork and consents, ensuring all signatures and forms are accurate and compliant.
- Resolve basic account issues and refer patients to financial counseling when appropriate.
Scheduling & Pre-Operative Management
- Schedule complex surgeries, trials, implants, infusions, and intrathecal pump procedures.
- Coordinate with providers, anesthesia teams, and surgical staff to confirm availability and complete surgical blocks.
- Ensure all required documentation, clearances, and testing (e.g., MRSA, labs, imaging) are received and reviewed prior to surgery.
- Obtain and confirm pre-certification and prior authorization with the Pre-Cert Coordinator.
- Maximize surgery schedule utilization and assist in rescheduling or filling open slots as needed.
- Communicate pre-operative instructions and expectations to patients, ensuring understanding of required preparation and arrival times.
Insurance & Financial Verification
- Verify insurance eligibility and benefits for all scheduled procedures.
- Identify and document primary, secondary, and tertiary payer order.
- Perform medical necessity checks and complete required ABN or Acknowledgement of Financial Responsibility forms.
- Coordinate with billing and insurance departments to resolve benefit discrepancies and ensure financial clearance prior to surgery.
Documentation & Communication
- Accurately document all communication, scheduling actions, and patient updates in the EMR.
- Scan, index, and route all supporting documentation in a timely manner.
- Act as a liaison among patients, physicians, Pre-Cert, Billing, and ASC teams to ensure alignment and timely information exchange.
- Provide copies of schedules, routers, and other necessary forms to relevant departments.
- Support clinical research documentation requirements when applicable.
Customer Service & Team Collaboration
- Deliver an empathetic, patient-centered experience in every interaction.
- Maintain effective communication across internal and external stakeholders.
- Participate in daily schedule reviews and support cross-coverage needs for other sites as needed.
- Assist in end-of-day closure procedures, ensuring tidiness and readiness of the front office.

Education and/or Experience Requirements
- High school diploma required
- Minimum of 2 years of experience in medical scheduling, patient access, or insurance verification required.
- Experience in an ASC or surgical scheduling environment preferred.
- Experience with an EMR system a plus.
- Demonstrated understanding of payer policies, authorizations, and patient financial processes.
