FRONT DESK RECEPTIONIST / SURGICAL COORDINATORPOSITION SUMMARY
Orange County Urology Surgical Center (OCUSC) is seeking a professional, organized, and patient-focused Front Desk Receptionist / Surgical Coordinator to join our team.
This position will support front office operations and coordinate surgical scheduling for our brand-new physician-owned ambulatory surgery center (ASC). The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced healthcare environment, and enjoys working closely with patients, physicians, and staff.
This is an exciting opportunity to join the core team of a new ASC and help establish efficient workflows, scheduling processes, and an exceptional patient experience from day one.
ABOUT ORANGE COUNTY UROLOGY SURGICAL CENTER
Orange County Urology Associates is proud to open its first physician-owned ambulatory surgery center, Orange County Urology Surgical Center (OCUSC), in Irvine, California.
OCUSC is scheduled to open in mid-autumn 2026 and will include one operating room and one procedure room featuring the latest technology and techniques. Fourteen urologic surgeons will utilize the facility Monday through Friday to perform outpatient surgical procedures.
As a member of the core ASC team, you will have the opportunity to contribute to the development and long-term success of a brand-new facility while working alongside experienced physicians and healthcare professionals.
ESSENTIAL DUTIES & RESPONSIBILITIES
Front Office Operations
- Greet and assist patients in a professional, friendly, and courteous manner.
- Check patients in and out while verifying demographic and insurance information.
- Collect patient payments and provide basic explanations of insurance benefits.
- Enter, verify, and update patient information in the electronic health record (EHR).
- Answer facility phones and monitor email during operational hours.
- Communicate professionally and effectively with patients, physicians, staff, and other departments.
- Maintain a welcoming, organized, and professional front office environment.
Surgery Scheduling & Coordination
- Schedule surgical procedures and manage appointment changes, cancellations, and rescheduling.
- Communicate with patients regarding surgery dates, appointment times, and pre-operative requirements.
- Coordinate with physician offices to obtain required medical records, orders, clearances, and other documentation.
- Ensure required pre-operative documentation is available prior to scheduled procedures.
- Review patient history and medication information for accuracy in the EHR.
- Verify required medical and/or specialist clearances prior to surgery.
- Follow up on outstanding documentation or requirements that may impact a scheduled procedure.
Documentation & Patient Records
- Maintain accurate and timely patient documentation in the EHR.
- Complete required logs, reports, and other documentation as assigned.
- Assist with medical record reviews to ensure records are accurate and complete.
- Maintain patient confidentiality in accordance with organizational policies and applicable requirements.
Teamwork & Patient Experience
- Provide excellent customer service and maintain a positive patient experience.
- Communicate effectively with patients and families from diverse backgrounds, utilizing translation services when needed.
- Work collaboratively with physicians, clinical staff, administrative staff, and other ASC team members.
- Participate in meetings, training, in-services, and quality improvement activities as needed.
- Contribute ideas and assist with developing efficient workflows and processes as the ASC grows.
- Perform other duties as assigned.
QUALIFICATIONS
- High school diploma or GED required; bachelor's degree preferred.
- Minimum of one (1) year of medical office, administrative, or ambulatory surgery center experience.
- Experience working with an electronic health record (EHR) system.
- Minimum typing speed of 60 WPM.
- Working knowledge of medical terminology.
- Strong organizational and communication skills.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Ability to work effectively in a fast-paced healthcare environment.
- Reliable transportation and dependable attendance are required.
- Must be able to provide proof of identity and authorization to work in the United States.
PHYSICAL REQUIREMENTS
- Must be able to lift up to 25 pounds unassisted.
- Must be able to stand for one to two hours continuously.
- Ability to perform the essential functions of the position in an ambulatory surgery center environment.
- Due to the on-site nature of this position and required response times, candidates must reside within approximately 30 miles of the Irvine office.
