Client Concierge — The First Impression Specialist - Receptionist & Customer Service

Just Another Receptionist Help Wanted Ad… But Not Really.

We’re building a team of A-players to be the frontline of our firm. As the Client Concierge, you aren't just "answering phones." You are the architect of the client experience, whether they are walking in the door or on the phone. You are the first voice a grieving widow hears when she calls about probate, and the reassuring guide to a family buying their first home.

We’re looking for a person, not a set of bullet points. You’ll be working alongside our founder and legal team to ensure that from the first "hello" to the final "thank you," clients feel the difference.

Where Do I Work?

While you'll be physically based in Sanford, you will serve as the "virtual hub" for clients and team members across all three of our Florida locations.

Your Role: The Client Journey

The Gatekeeper (First Impressions)

You are the "Director of First Impressions." Whether it’s a high-stakes real estate agent or a nervous first-time home-buyer, you set the tone. You don’t just route calls; you manage expectations and provide immediate warmth.

TL;DR: The Voice of the Firm.

The Air Traffic Controller (Intake & Gatherer)

You’ll manage the flow. You’ll qualify leads, gather the missing puzzle pieces, and set the expectation for them for their next stop on their journey.

TL;DR: Connecting the Dots.

The Emotional Anchor (Customer Service)

Clients are often dealing with major life transitions—buying a home, losing a loved one, or planning for the end of a loved one's life. You provide consistency, empathy, and the patience required to walk them through a process they may have never been through before.

Compensation:

$18 - $20 per hour

Responsibilities:

Host of the Sanford Hub: Be the welcoming face of our Sanford office, ensuring every client and vendor feels like a VIP from the moment they walk in.
Virtual Switchboard Lead: Masterfully manage multi-line communications across our three Florida locations, ensuring no call is a "dead end."
The "Missing Piece" Hunter: Partner with paralegals and closers to proactively gather the data and documents needed to keep files moving—before the deadline hits.
Knowledge Navigator: Stay in the loop on file progress across the team so you can provide immediate, informed answers to client inquiries without the dreaded "let me check and call you back."
Continuous Evolution: Actively sharpen your communication and technical skills to stay ahead of the curve and provide the highest level of service.
Cultural Catalyst: Contribute to process improvement and firm culture by identifying efficiencies and embodying our core values: Consistent. Real. Happy.

Exceptional Communication: You possess a "smile in your voice" and the ability to translate technical jargon into plain, reassuring English. You make clients feel heard and understood, even when the legal process feels overwhelming.
Ahead of the Airplane: You have a proactive, high-precision work style. You don’t just react to tasks; you anticipate the next three steps. If you were a pilot, you’d always be five miles ahead of the aircraft, already preparing for a smooth landing.
Tech-Fluent & AI-Forward: You don’t just "use" computers; you leverage technology to work smarter. You recognize AI as a powerful tool (not a foe) to enhance your workflow, but you also know that AI can never replace the human touch, empathy, and critical thinking you bring to the table.
