Full Job Description

Job Overview
As an Administrative Assistant you will provide essential support to ensure everything runs smoothly. Your dynamic role will involve managing front desk responsibilities, handling multi-line phone systems, and assisting with various administrative tasks. You will be the friendly face that greets visitors and the organized mind that keeps our office efficient. What you’ll do:

Answer incoming phone calls and assist homeowners with questions, concerns, and service requests in a professional and courteous manner.
Respond promptly to incoming emails and route messages to the appropriate manager or department as needed, including emails received through Webaxis.
Process and post homeowner payments and checks accurately in the system.
Maintain organized filing systems for office records and documents.
Monitor and replenish office equipment supplies, including refilling the large office printer with paper as needed.
Prepare and complete mail-outs for meeting notices, newsletters, violation letters, account statements, and other community communications provided by managers or the billing department.
Sort and distribute incoming mail and assist the receptionist with mail handling when needed.
Deliver outgoing mail to the post office at the end of the day.
Travel weekly to the corporate office to deliver invoices and pick up checks.
Assist with programming community gates and amenity access or submit repair requests to the Programming Department when necessary.
Support the maintenance and updating of community vendor contract and project quote spreadsheets throughout the year.
Monitor office supply inventory (including printer and postage ink) and provide ordering lists to the Operations department.
Receive, sort, and store incoming supply orders.
Prepare and box community files at year-end for transfer to storage.
Provide administrative support and complete additional tasks as requested by the Executive Administrator, Billing Supervisor, Operations Manager, and CEO.

Basic qualifications

Proven experience in an administrative role or as a personal assistant
Strong organizational skills with the ability to manage time effectively and independently
Proficient in computer literacy, including Microsoft Office Suite and Google Workspace

Preferred qualifications

Bilingual skills are a plus to enhance communication with diverse clients, but not required.
