Executive Assistant / Operations Manager

About Edison and RAIL

Edison and RAIL is a design consultation firm to the architectural and construction trades, private estates, developers, and applied arts projects through a deeply humanistic lens. We are typically the client’s primary consultant in navigating multi-phase architectural processes: guiding thoughtful, well-crafted decisions that respect time, resources and materials, in the design of structures, space, light and the natural environment.

Our work spans five primary areas:

Residential Legacy Homes, focused on rich materiality and context
Metal Structural Assemblies, entertainment and theater builds with mechanical integration
Urban and Civic Redevelopment, in collaboration with planners / developers
Photography and fine art, with sensitivity to light, emotive form, and nature
Government and public-sector work, an area of future capacity

Edison & Rail is building the systems, relationships, and culture that will support the firm's next chapter—an enduring practice known as much for how it works as for how and what it creates.

The Role

This role spans tasks from executive assistant (EA) through traditional big picture Chief Operations Officer (COO) skills.

Employee #3. Help build a structural design practice from two people to eight. This is intentionally a broad, hands-on role that combines executive support, office coordination, and practice operations. This role serves as a central point of care, organization, and follow-through—supporting leadership, clients, and partner collaborators while translating vision into built reality.

This is an opportunity to help shape the next chapter of Edison and RAIL as one of the firm's earliest team members, you'll help define how we work, how clients experience us, and how our culture evolves. We're looking for someone who finds satisfaction in supporting enduring organizations into maturity.

Key Impact

1. Shape Operating Systems & Office Infrastructure

Build and continually refine the systems that allow Edison & Rail to operate with clarity, consistency, and grace. Rather than simply maintaining software, you will steward the firm's operational infrastructure by regularly asking:

What are the best practices for doing this?
Where are we losing time, creating friction, or adding unnecessary complexity?
How can our systems leverage AI tools to better support our clients, our team, and our future maturity?
What solutions should be prioritized for implementation?
What can be standardized, automated, or documented?
Are our digital tools, files, and workflows organized, secure, and positioned to support the next chapter of the practice?

Working collaboratively with leadership and consultants, you'll implement thoughtful improvements that strengthen our operating systems while preserving the personal, high-touch experience that defines Edison & Rail.

2. Steward the Client Experience

Serve as a welcoming and steady contact for new and prospective clients
Create an organized client experience from onboarding to relationship maintenance, utilizing Asana, Dropbox and project management workflows
Run onboarding communications using established templates (payments, surveys, scheduling, file access)
Create and maintain client records in Google, Harvest, and QuickBooks
Facilitate contracts and processing

3. Executive Support & Scheduling

Manage calendars and scheduling for client projects and internal team
Assist with meeting agenda preparation and follow-up summaries
Monitor incoming email and respond or forward as appropriate
Keep documents and communications organized

Flexible Work Arrangement

This position offers structured in-office work, remote work, or both. The specific schedule and balance of in-person and remote responsibilities will be determined collaboratively based on the needs of the practice and the successful candidate.

As appropriate, hands-on responsibilities from the Lancaster, PA, pet-friendly office would include:

Manage receivables and deliveries
Facilitate In office meetings
Run local errands

Qualifications

3–7 years of high level executive function in corresponding position
Experience supporting a small business, professional services firm, or creative practice
Strong organizational, communication, and personal direction skills
Ability to work independently and manage competing priorities
Interest in architecture, design, applied arts and the built environment

CAD, drafting, marketing, or COO experience is a plus but not required.
