Overview
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This energetic role is vital in creating a welcoming environment for visitors and clients while ensuring smooth office operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will handle front desk responsibilities, manage administrative tasks, and support office management functions to keep our workplace running efficiently. Responsibilities

Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
Answer multi-line phone systems with excellent phone etiquette, directing calls accurately and efficiently.
Manage front desk operations, including checking in guests, handling inquiries, and maintaining a tidy reception area.
Perform data entry and filing tasks with precision, utilizing computer skills in Microsoft Office, Google Workspace, and other office software.
Assist with calendar management and scheduling appointments for staff or clients as needed.
Support office management by organizing documents, proofreading correspondence, and maintaining filing systems.
Handle customer service inquiries via phone or email, providing helpful support or directing requests appropriately.
Conduct basic bookkeeping tasks using QuickBooks or similar accounting software when necessary.
Support administrative duties such as copying, scanning, proofreading documents, and managing office supplies inventory.
Maintain a professional appearance and demonstrate excellent organizational skills to ensure efficient daily operations.
Assist with special projects or personal assistant tasks to support team members' needs as required.

Qualifications

Proven experience in an office environment or as a receptionist; clerical or administrative experience is highly valued.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
Familiarity with multi-line phone systems and phone etiquette to handle calls confidently.
Bilingual abilities are a plus to serve diverse clients and visitors effectively.
Excellent organizational skills with keen attention to detail; ability to prioritize tasks efficiently.
Experience with QuickBooks or bookkeeping software is desirable but not mandatory.
Strong customer service orientation with the ability to communicate clearly and professionally both verbally and in writing.
Ability to manage time effectively while multitasking in a fast-paced environment.
