ABOUT US

The City of East Lansing, Michigan, a residential community of 48,500 people and home to Michigan State University, is seeking a Part time assistant to the Downtown Development Authority Department. JOB SUMMARY:

The Assistant to the DDA Director reports directly to the East Lansing Downtown Development Authority (DDA) Executive Director and works collaboratively with the Executive Director to administer DDA programs. The Assistant is expected to perform a variety of administrative support activities for the DDA, including:

Preparation and dissemination of communications and correspondence, including DDA board schedules, agenda packets, and meeting minutes.
Maintain a variety of files and records.
Assist in DDA purchasing including the preparation and dissemination of requests for proposals.
Track and manage contracts, including contract payments, renewals, and expiration dates.
Provide technical assistance to the public via telephone, email, or in-person methods.
Processing of payments, invoicing, and purchase orders utilizing various computer software packages.
Contribute to the implementation and tracking of DDA strategic priorities.
Support preparation and set up for meetings and workshops.

The ideal candidate is a self-starter with strong financial literacy, written and verbal communication skills, an interest in serving the community, and a strong desire to learn.

Qualifications

High school diploma or equivalent is required. Associate’s or bachelor’s degree is highly desirable. Excellent oral and written communication skills, financial literacy, attention to detail, and reliability are required. Three or more years of increasingly responsible related experience in a fast-paced office environment preferred. Specialized training in secretarial or administrative support skills in Microsoft Word, Excel, Outlook and PowerPoint required; experience with Adobe Acrobat preferred. Understanding of urban planning, urban design, small business support and/or placemaking principles is desirable.

Special Requirements

Additionally, to perform the essential functions of the job, an individual may be required to stay in one position for prolonged periods of time, move occasionally throughout the office and the City, frequently handle light objects (<25 lbs.) and occasionally heavier objects (<50lbs.), operate assigned office equipment, including frequent exposure to computer screens, and communicate effectively with other City staff, the public, and other stakeholders.
