Executive Assistant to the CEO

Your Mission

The Executive Assistant to the CEO plays an important role in helping the CEO and organization operate effectively.

We’re looking for a highly organized, proactive professional who brings structure, sound judgment, strong follow-through, and thoughtful coordination to a fast-moving organization. You’ll work closely with the CEO to manage priorities, prepare for key meetings and commitments, coordinate communication and projects, and ensure important work continues moving forward.

This role is ideal for someone who takes ownership, anticipates needs, communicates professionally, and enjoys creating clarity and organization in a dynamic environment.

What You’ll Own

Executive Calendar & Priority Management

Manage and prioritize the CEO’s calendar to align time with organizational priorities.
Coordinate meetings, appointments, and commitments with internal and external stakeholders.
Prepare the CEO for upcoming meetings, deadlines, and key priorities.
Proactively identify scheduling conflicts and recommend solutions.
Provide visibility into upcoming commitments and priorities.

Meeting Coordination & Follow-Through

Coordinate meeting logistics, agendas, materials, and preparation.
Capture key decisions, commitments, and action items as appropriate.
Track follow-up and help ensure commitments are completed.
Coordinate with team members and stakeholders to keep priorities moving forward.

Executive Communications

Support professional and timely internal and external communication.
Assist with inbox management, prioritization, and follow-up.
Draft, review, and prepare communications on behalf of the CEO.
Exercise sound judgment in determining what requires immediate attention, what can be delegated, and what can be addressed later.
Represent the CEO and organization professionally in interactions with employees, clients, partners, and other stakeholders.

Project & Initiative Coordination

Coordinate special projects and organizational initiatives from planning through completion.
Develop timelines, organize information, coordinate stakeholders, and track deliverables.
Identify potential obstacles and proactively recommend solutions.
Provide updates on progress, priorities, and outstanding items.
Help ensure projects are completed accurately, professionally, and on schedule.

Executive & Organizational Support

Provide day-to-day administrative and organizational support to the CEO.
Coordinate travel, expenses, events, and other logistics as needed.
Support both immediate priorities and longer-term planning.
Handle confidential and sensitive information with a high level of discretion.
Anticipate upcoming needs and prepare information, materials, or next steps in advance.

What We’re Looking For

2–4 years of office, administrative, executive assistant, or similar professional experience.
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities, projects, and deadlines simultaneously.
High level of professionalism, discretion, and judgment.
Proficiency with Microsoft Office and other relevant technology.
Comfort working in a fast-paced environment where priorities may shift.
Strong initiative, accountability, and follow-through.
Ability to work independently while knowing when to seek input or clarification.

Most importantly, you take ownership. When something needs to be accomplished, you determine the appropriate next steps, engage the right people, ask thoughtful questions when needed, and help move the work forward.
