Full Job Description

Job Summary

We are seeking a highly capable and execution-driven Executive Assistant to support the Executive Vice President of a fast-growing, multi-state food truck and franchise organization. This role is central to maintaining operational alignment across multiple entities including franchising, supply chain, and corporate operations.

This is not a passive administrative role. The Executive Assistant will function as a strategic right hand — managing priorities, monitoring and responding to high-volume communications, tracking cross-functional initiatives, coordinating logistics, and ensuring disciplined follow-through on high-impact projects.

The ideal candidate thrives in a high-performance environment, demonstrates exceptional organizational discipline, and anticipates needs before they arise. Precision, discretion, and execution speed are critical.

Duties

· Manage and maintain calendar across multiple time zones using Google calendar, coordinating leadership meetings, franchise calls, and vendor meetings.

· Monitor, organize, and manage high-volume email inboxes. Draft and respond to emails on behalf of the Executive Vice President when appropriate, triage incoming communications, prioritize urgent matters, and ensure timely follow-up on critical items.

· Create and issue Purchase Orders in QuickBooks.

· Coordinate logistics including freight scheduling, shipment tracking, distributor communication, and vendor follow-up to ensure timely execution.

· Track critical deadlines related to franchise agreements, lease negotiations, regulatory compliance, insurance renewals, licensing, and vendor contracts.

· Assist with domestic and international sourcing initiatives, including identifying and vetting suppliers through platforms such as Alibaba, Upwork, and industry-specific networks. Compare quotes, evaluate specifications, negotiate pricing, coordinate samples, and track production timelines through delivery.

· Assist with preparation and organization of franchise documentation.

· Manage travel arrangements, executive scheduling, and meeting logistics including commissary visits, franchise discovery days, vendor site tours, and industry events.

· Oversee digital file organization across shared drives, ensuring contracts, agreements, vendor documents, and operational SOPs are properly maintained and easily retrievable.

· Maintain strict confidentiality regarding financial data, legal matters, ownership structures, and strategic growth initiatives.

· Assist marketing team with META ads and social media initiates

Requirements

· Proven experience as an Executive Assistant or high-level administrative professional supporting senior leadership in a fast-paced organization.

· Strong organizational systems mindset with the ability to manage multiple high-stakes projects simultaneously without loss of detail.

· Demonstrated proficiency in Microsoft Office (Word and Excel), Google Sheets, QuickBooks (including Purchase Order creation), DocuSign, and digital file management systems.

· Experience managing executive email inboxes and drafting professional responses independently.

· Experience coordinating freight, shipments, vendor logistics, or supply chain communication is highly preferred.

· Excellent written and verbal communication skills with strong judgment and discretion.

· Self-starter mentality with strong prioritization skills and minimal need for supervision.

Pay: $20.00 per hour
