Full Job Description

Are you passionate about planning impactful events, coordinating intricate logistics, and working closely with senior leaders in a high-performance commercial environment?

Pegasus Laboratories, Inc., an innovative veterinary pharmaceutical and medical product company, is hiring a Commercial Events Specialist to join the team! This position can be based in either the Shawnee, KS or Pensacola, FL office.

As a Commercial Events Specialist, you'll lead end-to-end event planning, manage vendors and budgets, coordinate travel and accommodations, and provide high-level administrative support to senior leadership. This is an excellent opportunity for a highly organized professional who enjoys managing multiple priorities, building relationships, solving problems, and making complex events look effortless!

Position Responsibilities:

Lead the planning and execution of large-scale internal meetings, sales meetings, product launches, national tradeshows, and the annual distributor incentive trip
Coordinate meetings, conferences, teleconferences, and recurring Leadership Team meetings, ensuring efficient scheduling and seamless logistics
Manage end-to-end event logistics, including venue sourcing and negotiations, contracts, budgets, attendee coordination, travel, audiovisual, food & beverage, meeting space, and onsite execution
Oversee travel and accommodation arrangements for tradeshows, leadership meetings, sales teams, and training events, balancing cost-effectiveness with a positive attendee experience
Establish and manage vendor relationships, including onboarding, confidentiality agreements, consulting contracts, and ongoing coordination

Position Requirements:

Bachelor’s degree required; coursework in business administration, communications, or accounting preferred, or equivalent work experience
5+ years of experience in tradeshow/event planning and/or supporting senior-level management in a professional environment
Highly organized and self-directed with the ability to prioritize and manage multiple projects and deadlines simultaneously
Advanced proficiency with Microsoft Office Suite; experience with Smartsheet, SharePoint, OneNote, Visio, and Concur preferred
Ability to maintain the highest level of confidentiality and discretion when handling company and senior leadership information
Ability to travel up to 50% annually
