Job Title: Mail Clerk / Administrative Assistant
Location: Lawrence, MA 01840 (In-person position)
Job Type: Full-Time (40 hours per week)
Pay: Starting at $20.00 per hour

Key Responsibilities of the Mail Clerk:

Process all incoming and outgoing mail for the firm
Open, review, and organize daily mail and complete related tasks
Collaborate with attorneys to review and respond to mail
Communicate with clients regarding documents or notices received
Enter relevant dates and events (hearings, interviews, follow-ups) into the calendar
Upload notices and set reminders in Cerenade e-Immigration system
Properly file physical and electronic mail in the corresponding client files

Key Responsibilities of the Administrative Assistant:

Answering multiple telephone lines
Listening to voicemail and directing messages to respective parties
Greeting clients and making proper connection to person or task
Assisting with front desk area
Managing attorneys schedules
Copying and filing legal documents
Retrieving and organizing client files
Taking and managing payments
Contacting clients to collect unpaid funds
Preparing Attorney/Client Agreements
Other general office duties as assigned

The Mail Clerk and Administrative Assistant will have extensive telephone contact with courts, clients and opposing counsel. Professional telephone skills and the ability to handle confidential material in a trustworthy fashion are essential.

Must be able to handle multiple tasks since it is a fast-pace environment and this quality is essential to the job.

Requirements:

High school diploma or equivalent
Fluency in both English and Spanish (Required)
Proficient in Microsoft Word and Outlook
Strong multitasking and organizational skills
Excellent communication and interpersonal abilities
Ability to maintain client confidentiality
At least 1 year of office, administrative, or customer service experience preferred

Additional Requirements:

Must be able to reliably commute to or plan to relocate to Lawrence, MA 01840 before starting work
