Full Job Description

Position Title: Administrative Assistant/Receptionist

Reports To: Property Manager/Assistant Property Manager

Functional Area: Property Management

JOB SUMMARY

F/T position available as Administrative Assistant/Receptionist for Boyer Hill Military Housing at Hill AFB. Primary responsibility is to assist and coordinate all administrative functions of the Property Management Office and be the first line of customer service to all military members and their families.

Essential job functions, duties, and responsibilities

· Provide excellent customer service to residents and potential residents. Thorough knowledge of all operations standards to educate customers

· This position is responsible for opening the office and ensuring we are ready to greet guests at 7 AM.

· Answer all incoming calls and assist or forward to the appropriate staff member

· Assist service members with basic maintenance concerns and forward to mx when required

· Manage all reservations and coordinate with residents on key pick up and return (when applicable)

· Provide assistance to Property Manager and Assistant Property manager with reporting, tracking, mailing, and any other duties needed.

· Will assist with social media posting and distribution/flyers creation

· Will assist Community Coordinator with resident relations calendars and follow through

· Provide administrative support to the property management staff, including filing, preparing leasing documents, making copies and doing background checks

· Assist with social events, educational classes, family functions and community programs when needed

· Will aide in Final inspections. Getting file ready and help residents with payment

· Tracks office supplies and ordering as needed

· Responsible for taking monthly payments and track pay in person accounts.

· Ensure copy machine is full and other printers in the office that it is not in need of toner replacement

· Must adhere to company policies and procedures

· Assist with following up with residents regarding outstanding accounts

· Typing 45+ wpm

· Other duties as assigned

· May be required to obtain other certifications as needed

· A valid driver’s license is required

· Assist accounting department with day to day operations

Typing, data entry and computer skills required. Working knowledge of MS office (word, excel, access & power point) with skills at intermediate to advance level desirable. One Site knowledge and experience in Military documentation and inputting. High school diploma or equivalent. The ability to meet deadlines and interact in a positive working relationship with all personnel at all levels. Minimum 1-3 years of customer service experience with excellent verbal and written communication skills. Some experience in property management, would be a plus with a military background. Must pass be able to pass a background and drug test.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 7:00 a.m. to 4:00 p.m with an hour lunch
