We Are Hiring Financial Services Administrator/Social Security Benefits Administrator

Location: White River Junction, Vermont, 72 South Main Street
Work Hours: Monday - Friday, 8 am - 4 pm

About the role:

The SS Benefits Administrator oversees the administration of Social Security and other designated income for beneficiaries who are unable to manage their own finances. The role ensures that essential expenses—such as housing, utilities, food, medical needs, and personal allowances—are paid accurately and on time, promoting financial stability and well-being for clients. This role also ensures that all activities comply with SSA’s organizational payee requirements, including proper use of benefits, reporting, recordkeeping, and safeguarding conserved funds.

What you bring:

Duties and Responsibilities:

Financial Management & Oversight
- Oversee the receipt, allocation, and disbursement of SSA and other benefit income to ensure payment of housing, utilities, food, medical care, and personal needs.
- Ensure conserved funds are properly managed, documented, and safeguarded in accordance with SSA requirements.
- Review account activity and balances to ensure accuracy and fiscal integrity across all beneficiaries.
Compliance & Reporting
- Ensure organizational compliance with SSA representative payee rules, policies, and reporting requirements.
- Oversee preparation and submission of required SSA reports, including annual accountings and notifications of beneficiary changes.
- Establish and maintain internal controls and procedures aligned with SSA’s Guide for Organizational Representative Payees.
- Identify, investigate, and address compliance risks; respond appropriately to any suspected misuse of funds.
Program Administration & Collaboration
- Develop, document, and update policies and procedures for benefits and representative payee operations.
- Provide guidance, training, and oversight to staff performing transactional or bookkeeping functions.
- Coordinate with auditors, SSA representatives, and internal leadership regarding program operations.
Communication & Stakeholder Coordination
- Serve as a primary point of contact for SSA, vendors, case managers, and other stakeholders as needed.
- Ensure clear, accurate communication regarding beneficiary funds, policies, and program requirements
Participant Onboarding & Payee Transition Management
- Coordinate all Organizational Representative Payee enrollment activities for new beneficiaries.
- Ensure completion and submission of required SSA Representative Payee applications and supporting documentation.
- Serve as liaison between beneficiaries, families, guardians, Agency Service Coordinators, and SSA representatives during the onboarding process.
- Schedule and track SSA interviews and follow through until representative payee status is established.
- Monitor benefit transitions to ensure funds are redirected accurately and timely.
- Investigate and resolve onboarding or payment interruptions that may affect beneficiaries.
- Maintain documentation and records related to enrollment, transition activities, and SSA approvals.
- Communicate status updates to all relevant stakeholders throughout the onboarding and transition process.
Performs other duties or special projects as required or as assigned.

Qualifications:

Bachelor’s degree in accounting, finance, business administration, human services, or related field
3–5 years of experience in benefits administration, financial management, accounting, or social services, with increasing responsibility
Strong knowledge of SSA representative payee rules and compliance requirements preferred
Demonstrated ability to manage multiple accounts, maintain internal controls, and ensure regulatory compliance
Proficiency in Microsoft Office suite
Experience with financial or case management systems preferred
Strong verbal and written communication skills
Ability to maintain confidentiality
Ability to work with people at all levels of the organization
Ability to prioritize and multi-task in a fast-paced work environment, while remaining highly organized and detail-oriented

Physical demands/Working Conditions:

Predominately sedentary office position with high frequency of keyboarding/computer work required.
