Job Summary

We are seeking a detail-oriented and organized Administrative Assistant to support our daily operations. This role involves handling various administrative tasks to ensure smooth office functioning, including invoicing, managing accounts payables, answering customer phone calls, and updating work orders. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

Manage invoicing processes accurately and efficiently.
Handle accounts payable tasks, including processing vendor invoices and ensuring timely payments.
Answer incoming customer phone calls professionally, providing assistance or directing calls as needed.
Update and maintain work orders to ensure all information is current and accurate.
Support other administrative duties as assigned to facilitate daily operations.
Maintain organized records of financial transactions and correspondence.
Collaborate with team members to improve administrative workflows and customer service.

Qualifications

Proven experience in administrative support or related roles preferred.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent verbal and written communication skills.
Proficiency in basic accounting software including Quickbooks Online.
Ability to handle multiple responsibilities simultaneously with attention to detail.
Professional demeanor with strong problem-solving abilities.
High school diploma or equivalent required; additional education or certifications in office administration is a plus.
