Job Purpose

The Program & Training Manager is responsible for coordinating the operational functions that support NAMI Tennessee's statewide education, support, and outreach programs. This role oversees training logistics, presentation coordination, data collection, and program administration to ensure efficient and consistent program delivery across the organization. Serving as the central connector between program areas, the Program & Training Manager supports cross-functional collaboration, maintains program systems and documentation, and helps ensure trainings, presentations, and statewide initiatives are executed successfully. Through strong organizational support and continuous process improvement, this role strengthens NAMI Tennessee's ability to expand its programs and serve communities across the state.

This role will support the training execution and coordination for NAMI programs to include: Family-to-Family, Support groups, In Our Own Voice, Ending the Silence, Family & Friends, CIT, and others as assigned. A description of these programs can be found on nami.org.

Duties and Responsibilities

Training Coordination & Logistics

Coordinate the planning and execution of statewide trainings, ensuring all logistics are completed accurately and on schedule.
Manage training schedules, registrations, materials, trainer assignments, and communication with participants.
Coordinate trainer meetings and certification processes, including scheduling, documentation, and ongoing support.
Serve as the primary point of contact for training logistics before, during, and after trainings.
Maintain training calendars and coordinate with staff, affiliates, volunteers, and trainers to ensure successful delivery.

Program Administration & Support

Provide administrative support across the Programs Department to ensure consistent implementation of statewide initiatives.
Coordinate presentation requests, including scheduling, assignment of presenters, communication, and follow-up.
Maintain program resources, templates, and documentation to support staff, affiliates, and volunteers.
Support program staff with scheduling, project coordination, and implementation of department initiatives.
Serve as a central resource to improve communication and coordination across all NAMI Tennessee programs.

Data Collection & Reporting

Collect, enter, and maintain accurate program, training, volunteer, and presentation data.
Monitor program metrics and ensure timely submission of required documentation.
Assist in preparing monthly, quarterly, and annual reports for organizational leadership, funders, and NAMI National.
Maintain program databases and identify opportunities to improve data quality and reporting processes.
Support outcome measurement and evaluation efforts across all education and support programs.

Cross-Program Coordination

Serve as the connector across NAMI Tennessee programs, ensuring consistency in communication, processes, and resource sharing.
Assist with scheduling all program trainings, communicating any changes or updates to key staff members.
Manage training calendar and ensuring proper training documentation.
Coordinate cross-functional projects and initiatives involving multiple program areas.
Identify opportunities to streamline workflows, improve efficiencies, and reduce duplication across programs.
Collaborate with program staff to ensure alignment of calendars, trainings, outreach efforts, and organizational priorities.

Organizational Collaboration

Work collaboratively with NAMI Tennessee leadership and staff to support organizational goals and statewide impact.
Participate in department meetings, planning sessions, and continuous improvement initiatives.
Assist with statewide events including the Annual Conference, NAMIWalks, awareness campaigns, and other organizational initiatives as assigned.

Requirements

Bachelor’s degree in social work, business, communications, nonprofit leadership, or a related field.
Experience working with nonprofit boards and supporting governance, organizational growth, and planning.
Strong verbal and written communication skills, with good judgment and the ability to build positive working relationships.
Experience with community outreach and engagement.
Working knowledge of Microsoft Office and Teams.
Strong organizational skills with the ability to solve problems effectively.
Experience managing budgets, making financial decisions, and handling reporting.
Strong work ethic with passion and urgency for improving systems and resources for people affected by mental health conditions, along with a willingness to learn new areas as needed.
High level of integrity, with a commitment to working with compassion, honesty, and effectiveness.

Judgement and Decision Making

The work encompasses a very wide variety of projects or major functional areas. Available guidelines are broadly stated and non-specific such as statements of work, organizational mission statements, and/or theoretical frameworks. The employee has full and direct accountability for results.

Physical requirements

Ability to sit or stand for long periods and ability to access information using a computer for up to four hours at a time.

Screening requirements

Will be subject to a background check, must complete and maintain annual Title VI training, and contingent on reference checks.
