Full Job Description

Job Summary:

The Resident Accounts Specialist r is responsible for managing the move-out lifecycle, including accounts receivable, district court proceedings, notice to vacate processing, move-out documentation, and security deposit accounting. This role requires strong attention to detail, comfort navigating legal and administrative processes, an eye for efficiency, and the ability to communicate professionally with residents, various levels of staff, and court personnel.

Duties/Responsibilities:

Accounts Receivable & Collections

Monitor and manage delinquent resident accounts across the portfolio.
Initiate and track collections activity including payment plans, demand correspondence, and referrals to collections.
Coordinate with Community Managers on outstanding balances and escalation decisions.
Maintain accurate records of all collections activity in property management software (Yardi).
Prepare and distribute the monthly Accounts Receivable Aging Report

District Court

Prepare and file district court complaints for unpaid rent and damages.
Attend and represent the company at district court hearings.
Track judgment status and coordinate with management on enforcement and collections follow-through.
Maintain organized court filing records and deadlines across multiple properties.

Notice to Vacate & Move-Out Documentation

Receive, log, and process all notices to vacate; communicate timelines to Community Managers.
Prepare and distribute move-out documentation.
Coordinate with Operations Manager on turn process.

Security Deposit Accounting

Prepare and e-mail security deposit refund letters.
Calculate charges for damages, cleaning, and unpaid balances; process refunds or balance-due notices within required timeframes.
Maintain deposit accounting records in Yardi.
Ensure all deposit handling is compliant with applicable law and company policy.
Submit required reports to Community Managers and corporate office on a regular basis.
Performs any additional duties or tasks as assigned.
Ensures the conduct of all business is in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.

Required Skills/Abilities:

Strong organizational skills and attention to detail.
Ability to manage multiple deadlines across a large portfolio.
Solid written and verbal communication skills.
Ability to work independently and in team environments.
Works well under pressure and deadline oriented.
Proficient in Microsoft Office, email, and other business communication and property management software
Ability to provide executive level summary reports.
A focus on operational efficiency and detailed documentation.
Prolonged periods of working at a computer and using standard office equipment.
Ability to communicate effectively in person, by telephone, video conference, and in writing.
Ability to review, prepare, and maintain paper and electronic records with attention to detail.
Ability to move throughout office buildings, residential communities, and district court facilities as needed to perform essential job duties.
Ability to transport files, documents, and other office materials weighing up to 15 pounds on an occasional basis.
Ability to travel locally between company locations and district courts as needed.

Required Experience:·

Prior experience in property management, accounts receivable, paralegal work, or a related administrative role.
Familiarity with Pennsylvania landlord-tenant law and/or district court processes a plus.
Yardi or similar property management software experience preferred.· High school diploma or GED required.
5+ years of relevant experience preferred.

Hours/Pay:

Minimum 40 hours per week. Occasional flexibility required around month-end deadlines.
