Full Job Description

Position Summary

The Office Manager / Bookkeeper is a key administrative and financial position responsible for accurate financial records, grant administration and reporting, general business operations, and essential support for human resources.

This position requires a detail-oriented professional who is comfortable managing multiple priorities and working independently. The ideal candidate has strong experience with QuickBooks Online Advanced, a solid understanding of basic accounting principles, and the ability to handle confidential information with discretion.

Responsibilities:

Office Management

Manage day-to-day administrative operations of the organization.
Maintain organized electronic and physical records.
Coordinate office supplies, equipment, vendors, and general office needs.
Assist with contracts, insurance, licenses, renewals, and donor solicitations.

Accounting & Bookkeeping

Maintain accurate and timely financial records.
Record and reconcile bank and credit card transactions.
Process accounts payable and accounts receivable.
Prepare and process invoices, payments, deposits, and other financial transactions.
Maintain the organization's chart of accounts.
Assist with monthly and year-end reconciliations.
Coordinate with the organization's CPA, CEO, and Board Treasurer as needed.

Grant Administration & Reporting

Support tracking and reporting for state and local project grants.
Monitor reporting deadlines and required documentation.
Work with program staff to gather information necessary for grant reporting.
Prepare monthly billing requests for grant reimbursement.
Ensure project records are complete, accurate, and readily accessible for audits per funder requirements.

Human Resources Administration

Coordinate payroll administration for a team of seven.
Maintain confidential employee personnel and HR records.
Assist with onboarding and offboarding processes.
Coordinate employee documentation, timekeeping, benefits, and required forms.
Coordinate with the CEO and outside HR professionals as needed.

Qualifications:

Demonstrated experience in accounting, bookkeeping, office management, or business management.
Proficiency in QuickBooks Online Advanced, Microsoft Excel, and common business software.
Working knowledge of generally accepted accounting principles.
Experience with accounts payable, accounts receivable, reconciliations, and financial recordkeeping.
Strong organizational skills and exceptional attention to detail.
Strong written and verbal communication skills.
Ability to maintain strict confidentiality.
Associate's or bachelor's degree in accounting, business administration, finance, or a related field.

Preferred:

Experience and desire to work at a nonprofit organization.
Experience with grant administration and reporting.
Familiarity with Bloomerang or other donor database systems.
