Full Job Description

At Columbia Tent Rentals, we specialize in creating memorable events, from small, intimate gatherings to large-scale celebrations. We're seeking a detail-oriented and creative Event Specialist to join our team. In this role, you’ll be the key liaison between our clients and our team, managing all aspects of event coordination to ensure everything runs smoothly, from start to finish.

As an Event Specialist, you’ll work directly with customers to understand their needs, provide tailored solutions, and oversee the execution of their events. Your ability to build strong relationships, stay organized, and creatively solve problems will be key to your success in this dynamic role.

This position can be tailored to candidates at various levels, from entry-level to seasoned professionals. Compensation is commensurate with experience, and all employees receive health benefits, paid time off, and access to a 401(k) plan.

Key Responsibilities:

Event Coordination: Manage the entire event process, from initial inquiry through execution.

Quote and Order Management: Use Party Track to generate quotes and orders, manage quotes, and follow up with prospective customers to confirm bookings.

Customer Service: Answer phone calls, emails, and inquiries, addressing customer needs promptly and professionally. Maintain and nurture strong relationships with new and existing clients, ensuring repeat business and customer satisfaction.

Rental Needs Analysis: Communicate with customers to determine their rental requirements and suggest solutions based on their event needs.

Event Layouts: When required, use PartyCAD to create event layouts that reflect the customer’s vision.

Billing and Invoicing: Review order invoices and ensure customers are billed accurately and appropriately.

Scheduling: Coordinate with the internal team and customers to schedule deliveries, pickups, and installations.

Vendor Collaboration: Work with partner vendors to ensure all event needs are met.

Additional Responsibilities: Support other tasks as needed to ensure the successful execution of events and the smooth operation of daily business.

Excellent organizational skills with the ability to handle multiple events simultaneously.

A passion for providing exceptional service and maintaining positive client relationships.

Spanish proficiency appreciated, but strong communication skills in English are required.
