Overview

We are seeking a dynamic and organized Front Desk professional to serve as the welcoming face of our organization. This vital role involves managing front office operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to create a positive first impression for visitors, clients, and team members alike. Duties

Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive experience from the moment they arrive
Manage multi-line phone systems to answer inquiries, direct calls efficiently, and relay messages accurately
Handle all front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings
Perform data entry tasks using productivity software such as Microsoft Office, Google Workspace, and spreadsheets to update records and maintain organized files
Support office management activities by overseeing filing systems, processing incoming and outgoing correspondence, and managing office supplies
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
Provide excellent customer support by addressing inquiries promptly and professionally via phone or in person

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Excellent phone etiquette with experience managing multi-line phone systems
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong organizational skills with the ability to multitask efficiently in a busy environment
Technical proficiency in computer literacy including typing speed and proofreading skills
Previous experience as a receptionist or personal assistant is preferred, especially within medical or dental settings
Knowledge of bookkeeping software such as QuickBooks is a plus
Exceptional customer service skills with a friendly and professional demeanor
Ability to manage time effectively and prioritize tasks to ensure productivity
