Position Summary
The Human Resources Coordinator provides administrative and operational support for core HR functions, including payroll, safety, recruiting, onboarding, offboarding, compliance, performance management, training, employee records, and general HR administration. This role serves as a trusted point of contact for employees and candidates, helping ensure HR processes are accurate, timely, confidential, mission-aligned, and compliant with organizational policies and employment requirements.
Essential Duties and Responsibilities
Key Result Area #1: Recruitment, Onboarding & Offboarding

Support recruiting by posting openings, coordinating advertisements, reviewing applications, scheduling interviews, and maintaining applicant records.

Communicate professionally with candidates and assist with interview logistics, reference checks, background checks, offer letters, and pre-employment documentation.

Help ensure recruiting practices are timely, consistent, equitable, mission-aligned, and responsive to organizational hiring needs.

Coordinate onboarding, including paperwork, orientation scheduling, employee file setup, system access, required acknowledgments, and timely completion of eligibility, tax, payroll, benefits, and related documents.

Provide new employees with a welcoming, organized, mission-centered onboarding experience.

Coordinate offboarding, including separation paperwork, exit interview scheduling, property return, benefits notices, final payroll coordination, and related records.

Maintain accurate records for hires, transfers, status changes, and separations.
Key Result Area #2: Payroll Support

Serve as the designated back-up for payroll processing, including timekeeping review, payroll data entry, payroll reports, and payroll-related employee questions.

Review payroll information for completeness, accuracy, and appropriate approvals before submission.

Coordinate with Payroll & Benefits Manager to resolve missing timesheets, corrections, leave entries, or other payroll discrepancies.

Support payroll recordkeeping and filing in accordance with organizational procedures and retention requirements.

Maintain confidentiality of payroll and employee compensation information.
Key Result Area #3: Safety Program Coordination

Coordinate the organization’s safety program, including safety training, safety communications, incident documentation, and follow-up on corrective actions.

Maintain safety records, training rosters, inspection logs, incident reports, and other required documentation.

Assist with workers’ compensation reporting, claim documentation, and communication with employees, supervisors, and third-party administrators as appropriate.

Coordinate safety committee meetings, prepare agendas and notes, and track action items to completion.

Promote a culture of safety by supporting compliance with organizational safety policies, required training, and applicable workplace safety standards.
Key Result Area #4: Compliance and Policy Administration

Assist with administration of HR policies, procedures, employee handbook updates, acknowledgments, and related employee communications.

Track required employment documentation, compliance forms, training requirements, certifications, licenses, and policy acknowledgments.

Support compliance with applicable federal, state, and local employment requirements by maintaining accurate records and escalating concerns to HR leadership.

Assist with internal audits, personnel file reviews, compliance reports, and follow-up on missing or incomplete documentation.

Help ensure HR forms, templates, postings, and employee communications remain current, accurate, and consistent with organizational policy, values, and mission.
Key Result Area #5: Performance Management and Training

Support performance management processes, including coordinating review timelines, tracking completion of evaluations, preparing forms or system workflows, and following up with supervisors and employees as needed.

Maintain performance management records, documentation, and related employee file materials in accordance with organizational procedures.

Assist with performance improvement documentation, goal-setting materials, and related HR communications under the direction of HR leadership.

Coordinate employee training activities, including scheduling sessions, preparing materials, communicating training requirements, tracking attendance, and maintaining training records.

Monitor required and recurring training completion and provide reports or reminders to employees, supervisors, and HR leadership.

Help identify training needs based on compliance requirements, onboarding feedback, safety initiatives, organizational priorities, and the organization’s faith-based mission and values.
Key Result Area #6: General Human Resources Administration

Maintain accurate employee records, personnel files, HR forms, and HRIS data.

Respond to routine employee questions regarding HR policies, procedures, benefits, payroll, and employment documentation, escalating complex matters as appropriate.

Support employee communications and HR processes in a manner that reflects UGM’s faith-based mission, vision, and values.

Handle confidential and sensitive information with professionalism and discretion.
-
Perform other duties and special projects as assigned.
REQUIRED QUALIFICATIONS:
-
Bachelor’s degree in Human Resources, Business Administration, or a related field.
- One to three years of administrative experience required; experience in human resources, payroll, recruiting, or safety coordination.

Working knowledge of HR practices, employee recordkeeping, confidentiality requirements, policy administration, compliance tracking, performance management support, training coordination, and general employment processes.

Ability to learn and accurately use HRIS, payroll, timekeeping, applicant tracking, and Microsoft Office systems.

Strong attention to detail, organization, follow-through, and ability to manage multiple priorities.
-
Effective written and verbal communication skills with a customer-service mindset.

Ability to support and work within a faith-based organizational culture with professionalism, respect, and alignment with the organization’s mission and values.

Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
PREFERRED QUALIFICATIONS:

Experience supporting payroll processing or serving as a payroll back-up.

Experience coordinating workplace safety programs, safety committees, incident reports, or workers’ compensation documentation.

Experience supporting full-cycle recruiting, onboarding, and offboarding processes.

Experience supporting performance review cycles, training coordination, learning records, or employee development activities.

Knowledge of applicable employment laws, workplace safety requirements, HR compliance practices, policy administration, performance management processes, and employee training coordination.

SHRM-CP, PHR, payroll, safety, or related training/certification preferred but not required.
