Prism Health is seeking a highly organized, detail-oriented, and dependableProject Manager – Doula Program & Women’s Health to support the daily operations, coordination, documentation, reporting, and workflow management of Prism’s Doula & Maternal Health Program. This role will support program workplans, doula scheduling, team communication, patient/client outreach processes, documentation tracking, onboarding coordination, operational follow-up, quality improvement, and program reporting. A major part of this position will focus on ensuring that required program documentation is accurate, complete, timely, and organized for internal reporting, compliance, grant support, quality improvement, and program evaluation purposes. The ideal candidate will have experience in healthcare operations, maternal health, public health, community health, nonprofit program coordination, or healthcare program management. This person should be comfortable managing multiple priorities, maintaining trackers, preparing reports, following up with team members, leading coordination meetings, and helping leadership keep the program organized and on track. A Master of Public Health, healthcare administration, or related background is strongly preferred.

Description

Project Manager – Doula Program & Women’s Health

Location: Chicago, IL

Job Type: Full-time

Schedule: Monday–Friday; occasional evenings/weekends as needed

Work Location: Hybrid, at Cook County Health (CCH) sites and Prism Health office (Chicago, IL)

Responsibilities

Manage program workplans, timelines, schedules, trackers, and operational deliverables.
Support daily coordination of Prism’s Doula Program & Women’s Health, including doula scheduling, shift coverage, staffing updates, and team communication.
Maintain accurate program records, including shift trackers, staffing logs, shared documents, reporting logs, and internal program files.
Track, review, and follow up on required documentation, including shift notes, patient interaction logs, Superforms, outreach records, group education records, and other program forms.
Ensure documentation is accurate, complete, consistent, timely, and organized for reporting, compliance, grant support, and program evaluation.
Lead recurring coordination meetings, including agendas, notes, action items, and follow-up.
Develop and maintain SOPs and operational tools, including scheduling protocols, documentation standards, escalation workflows, and reporting processes.
Support patient/client outreach workflows, including lead tracking, follow-up coordination, referral tracking, and outreach documentation.
Assist with data collection and reporting related to referrals, prenatal support, labor and delivery support, postpartum support, outreach, group education, and program productivity.
Support onboarding and compliance tracking in partnership with HR, including background checks, TB requirements, credentialing, training completion, and access needs.
Communicate professionally with Prism leadership, doulas, clinical partners, internal teams, and external program partners.
Identify workflow gaps, support process improvements, and help standardize program systems across sites.
Prepare reports, summaries, audits, grant materials, program evaluation materials, and other documentation as needed.
Maintain confidentiality and comply with HIPAA and organizational policies.
Work on-site at Cook County Health locations and the Prism Health office as required.
Support additional program operations and administrative tasks as assigned.

Qualifications

Bachelor’s degree required; public health, health administration, women’s health, maternal health, social work, or related field preferred.
2–3 years of experience in project coordination, program management, healthcare administration, public health, maternal health, community health, nonprofit operations, or healthcare program support preferred.
Strong documentation, tracking, reporting, and follow-up skills required.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Advanced comfort with Google Workspace, especially Google Sheets, Drive, shared documents, forms, trackers, and reporting tools.
Experience preparing meeting notes, reports, SOPs, schedules, trackers, or compliance documentation preferred.
Ability to work independently, follow through on assigned tasks, and escalate issues when needed.
Professional, dependable, and able to handle confidential information appropriately.
Ability to communicate professionally with leadership, staff, doulas, patients/clients, clinical partners, and program partners.
Ability to pass required background checks and meet Cook County Health compliance requirements.

Preferred Qualifications

Master of Public Health, healthcare administration, or related graduate-level background strongly preferred.
Experience in women’s health, maternal/child health, doula programs, community health, public health, nonprofit healthcare, or hospital–community partnerships.
Experience working in clinical, hospital, or healthcare-adjacent environments.
Experience with documentation-heavy program operations and staff documentation tracking.
Familiarity with patient/client outreach, referral tracking, healthcare reporting, or care coordination workflows.
Experience creating or maintaining SOPs, shared trackers, schedules, dashboards, or reporting tools.
Familiarity with working with diverse and underserved communities.
Experience supporting EHR workflows, Cerner preferred.
Experience with secure clinical communication tools, such as TigerConnect, preferred.
