Position SummaryThe Arkansas Department of Education Office of Early Childhood (OEC) is seeking anorganized, detail-oriented Administrative Analyst to provide advanced administrative,operational, and analytical support to the Program Administrator for the State Early ChildhoopLocal Lead Organization Program and the Head Start State Collaboration Office Director. Thisposition plays an important role in supporting the effective administration of both programs andensuring that program activities, records, communications, reporting requirements, andoperational processes are completed accurately and efficiently.The Administrative Analyst will coordinate administrative functions across the two programsareas, maintain program records and documentation, assist with data collection and reporting,support meetings and stakeholder activities, and help monitor timelines and requireddeliverables. The position requires strong organizational skills, sound judgment, and attention todetail, and the ability to manage multiple priorities while working collaboratively with OEC staff,contractors, Local Lead Organizations, Head Start partners, and other stakeholders.Essential Duties and ResponsibilitiesThe Administrative Analyst provides advanced administrative and operational support to theProgram Administrator for the State Early Childhood Local Lead Organization Program and theHead Start State Collaboration Office Director. The position coordinates calendars, meetings,correspondence, program materials, travel, and other administrative activities necessary tosupport the work of both program areas.
The analyst assists with preparing agendas, meetingmaterials, presentations, reports, correspondence, and other documents and ensuresappropriate follow-up on assignments and action items.The position maintains organized physical and electronic records related to program operations,contracts, reports, meetings, correspondence, and other activities. The Administrative Analystensures that records and documentation are maintained in accordance with applicable staterequirements, OEC procedures, confidentiality requirements, and established recordsmanagement practices. The position develops and maintains tracking systems to supportdeadlines, deliverables, reporting requirements, program activities, and other operationalresponsibilities.The Administrative Analyst supports the State Early Childhood Local Lead OrganizationProgram by assisting with administrative coordination among OEC and Local LeadOrganizations across the state. Responsibilities may include maintaining contact andorganizational information, coordinating meetings and communications, tracking requiredreports and deliverables, organizing program documentation, supporting invoice andexpenditure documentation, and assisting the Program Administrator with monitoring programactivities and contractual requirements.The position supports the Head Start State Collaboration Office by assisting the Director withcoordination, documentation, meetings, reporting, and communication with Head Start and EarlyHead Start programs, state agencies, community partners, and other stakeholders.
TheAdministrative Analyst assists with maintaining program information, organizing stakeholdermeetings and activities, tracking grant requirements and deliverables, compiling information forfederal and state reporting, and supporting activities that strengthen coordination between HeadStart programs and Arkansas's broader early childhood system.The Administrative Analyst collects, organizes, analyzes, and summarizes data from internaland external sources to support program administration and decision-making. The positionprepares reports, spreadsheets, presentations, summaries, and other materials thatcommunicate program information to OEC leadership and stakeholders. The analyst may review information for completeness and accuracy, identify trends or discrepancies, and assistprogram leadership in maintaining reliable information for planning, monitoring, and reporting.The position evaluates administrative and operational processes to identify opportunities toimprove efficiency, consistency, documentation, and service delivery. The Administrative Analystassists in developing and maintaining procedures, templates, tracking tools, and workflows thatsupport effective program operations.
The analyst works collaboratively with OEC leadershipand staff to implement improvements and ensure administrative processes align with agencyobjectives.The Administrative Analyst also supports special projects, meetings, conferences, stakeholderengagement activities, and other initiatives associated with the Local Lead OrganizationProgram, Head Start State Collaboration Office, and broader OEC priorities. Other duties maybe assigned based on program and organizational needs.
