JOB TITLE: Accounts Payable Coordinator

REPORTS TO: Controller

The following statements reflect the general duties, responsibilities and competencies considered necessary to perform the essential functions of the job and should not be considered as a detailed description of all the work requirements of this position.

JOB PURPOSE: The accounts payable coordinator is responsible for processing all of the company’s invoices adhering to company policies and procedures. The position will be detail oriented and maintain a high level of accuracy.

RESPONSIBILITIES:

Basic duties and responsibilities for all jobs are as follows:
Responsible for receiving, verifying, and processing invoices from vendors.
Communicate with many different departments to ensure validity and approvals are accurate.
Preparing payments to vendors ensuring timely and accurate payments.
Maintain accurate and complete records of all vendor payments and transactions.
Reconciling vendor statements with company records to ensure accuracy.
Adhering to company policies and procedures related to accounts payable.
Establishing and maintaining relationships with vendors.
Resolving payment discrepancies and other issues with vendors.
Handle other miscellaneous requests.

QUALIFICATIONS:

Proficient with Microsoft office and experience using computers and able to learn new technology and software.
Accuracy is crucial in this role, requiring meticulous attention to detail.
Managing multiple invoices and payments requires strong organizational skills.
Communicating with vendors and other departments requires good communication skills.
Problem solver, work under strict timelines, detail oriented, multi-task in a fast-paced environment.
Basic math skills are needed for invoice processing and payment calculations.
Ability to follow up on a timely basis vendor question.
Experience in dispute resolution

WORKING CONDITIONS:

Fast paced office setting
Business-casual office setting

PHYSICAL REQUIREMENTS:

Ability to sit in front of a computer or at a desk for greater than 8 hours per day.
Ability to bend and stoop as needed.
Speak clearly to other office personnel, management, employees and outside personnel.
Maintain personal office area; i.e., keeping desk clean, papers organized, etc.
Noise level in the office environment in quiet to moderate.
