Job Type: Part-time (30–40 hours/week)

About Us

We are a growing commercial service provider in Missoula looking for an organized, sharp, and proactive Office Manager to keep our day-to-day operations running smoothly. If you thrive in a fast-paced environment, love organizing operational details, and excel at keeping field paperwork and customer communications tight, we want to hear from you! This is a brand-new position.

What You’ll Do

As our Office Manager, you will be the administrative backbone of our operational team, bridging the gap between field crews, project managers, clients and 3rd-party client portals.

Work Order & Billing Logistics: Manage Work Orders in Jobber, organize job site photos, generate initial customer billing, and keep 3rd-party management platforms completely up to date.
Time & Schedule Verification: Audit employee timesheets against project logs to ensure hours and project assignments are recorded accurately (our PMs handle scheduling; you ensure the documentation is right).
Compliance & Permitting: Track down, pull, and manage municipal permits, contractor COIs, licensing, and business paperwork. Learn and manage client contracts.
Client & Platform Liaison: Serve as a key administrative point of contact for project managers, clients, and 3rd-party platform reps. Assist employees with app management.
Office Administration: Handle incoming calls, maintain digital/physical filing, and assist leadership with general operational support.

What We’re Looking For

Experience: 2+ years of experience in office management, construction/trade administration, or operations coordination. More is a definite plus!
Tech-Savvy: Tech agility is essential! You should be comfortable learning and mastering 3rd-party management apps, time-tracking tools, and software like Jobber.
Attention to Detail: A sharp eye for verifying timesheet data, work order accuracy, and permit requirements.
Communication: Clear, confident communication skills to work effectively with field personnel, contractors, project managers, and city offices.
Problem Solver: Ability to work independently, prioritize tasks, and keep moving parts organized.

Schedule

8am – 5pm Monday to Friday (Approx. 30–40 hours/week)

Experience Required

Office management or operations administration: 2 years (5 years preferred)
Customer service or account management: 2 years (5 years preferred)

Pay: $20.00 - $24.00 per hour
