Full Job Description

Invoice & Data Entry Specialist

Summary

The Invoice Specialist is responsible for performing invoice data entry tasks, maintaining accurate records, recording invoice details, handling invoice collections and vendor communication. This role may include mailroom duties, document imaging, missing invoice research, invoice support, and invoice balance research. The position requires strong attention to detail, effective communication skills, and the ability to manage multiple tasks while meeting deadlines.

Responsibilities

· Enter and update customer, account, and invoice-level data with accuracy.

· Organize and sort source data for computer entry.

· Follow established program techniques and procedures for maintaining data integrity.

· Accurately balance and process basic and intermediate invoice formats.

· Investigate and resolve invoice delivery issues.

· Return incomplete invoices and discrepancies to the Team Leader/Manager for resolution.

· May use 3rd party application that support invoice and AP duties.

· Ensure timely pickup and delivery of daily mail.

· Execute effective mailroom and document imaging duties.

· Navigate vendor portals to retrieve invoice data and support documents.

· Communicate effectively with vendors to obtain and update billing information.

· Follow appropriate procedures based on documented notes and instructions.

· Maintain customer confidence and protect sensitive information.

· Contribute to team efforts by meeting performance expectations and deadlines.

· Demonstrate understanding of company and department terminology related to invoices and accounts.

· Utilize provided tools to ensure efficient invoice processing in alignment with schedules and deadlines.
