Full Job Description

Overview

Position Overview

We are seeking an experienced, detail-oriented Bookkeeper to manage financial operations across our three pet care entities. This is a 26-34 hour per week, on-site position reporting to ownership. The ideal candidate will bring 3-5 years of bookkeeping experience and strong QuickBooks proficiency. Our external CPA handles tax preparation and compliance, so this role focuses on maintaining accurate financial records, payroll, and bank reconciliation.

Key Responsibilities

Payroll & Employee Administration

Manage payroll processing for all three entities using QuickBooks
Oversee employee onboarding documentation, tax forms (W-4, I-9), and benefits setup
Maintain employee records and ensure payroll compliance with company policies

Bank & Cash Management

Reconcile all bank accounts and credit cards monthly
Monitor cash flow, flag discrepancies, and investigate variances
Prepare bank deposits and maintain supporting documentation

Accounts Payable & Receivable

Process vendor invoices, manage payments, and maintain accurate records
Follow up on outstanding customer invoices and track collections
Maintain vendor relationships and reconcile vendor statements

QuickBooks Management

Maintain accurate chart of accounts across all three entities
Process and code daily transactions ensuring proper categorization
Generate monthly QuickBooks reports and reconcile accounts
Maintain data integrity and prepare records for CPA review

Financial Records & Reporting

Prepare monthly trial balances and financial data for management review
Organize and prepare all documents needed for quarterly CPA reviews
Compile supporting documentation for tax filing and audit purposes

Required Qualifications

3-5 years of bookkeeping experience, preferably in a multi-entity environment
Expert proficiency in QuickBooks Desktop or Online (REQUIRED)
Strong knowledge of payroll processing and payroll procedures
Proficiency with Microsoft Excel and accounting software
Excellent organizational and time management skills
High attention to detail and accuracy in numerical work
Ability to work independently and manage multiple priorities across three entities
Strong communication skills and ability to collaborate with external CPA

Preferred Qualifications

QuickBooks certification or training
Experience in the pet care, service, or retail industry
Experience managing books for multiple business entities
Familiarity with bookkeeping for service-based businesses
Extensive experience with accounting software such as QuickBooks (including QuickBooks Online), Xero, Sage, or similar systems
Strong knowledge of corporate accounting principles, non-profit accounting practices, and public accounting procedures
Proficiency in spreadsheets and financial report writing for accurate data analysis and presentation
Solid understanding of double entry bookkeeping, account reconciliation processes, and bank reconciliation techniques
Ability to perform account analysis with attention to detail while adhering to GAAP standards
Experience processing payroll and managing accounts payable/receivable efficiently
Familiarity with technical accounting concepts including general ledger reconciliation and journal entry posting
Excellent organizational skills with the ability to handle multiple tasks in a lively work environment while maintaining accuracy
