Position Summary
The Family & Teammate Experience Coordinator is responsible for creating an exceptional experience from a family's first interaction with our schools through enrollment and beyond. This role serves as the bridge between prospective families, school leadership, and corporate operations to ensure every interaction reflects our mission and values.
This position will oversee family engagement initiatives, enrollment support, customer service standards, CRM management, onboarding consistency, and experience improvement across all locations. The ideal candidate is passionate about serving people, thrives in a fast paced environment, and enjoys building systems that create consistency and excellence.
Responsibilities
Family Experience
- Serve as a champion for exceptional customer service across all schools.
- Monitor the family journey from first inquiry through enrollment and retention.
- Review family feedback and identify trends to improve the overall experience.
- Partner with school leadership to resolve concerns promptly and professionally.
- Develop initiatives that increase family satisfaction and long term retention.
Enrollment & CRM Management
- Oversee CRM utilization and ensure inquiries are documented accurately.
- Monitor response times to new leads and prospective family communication.
- Review recorded calls for coaching opportunities and quality assurance.
- Track tour activity, tour completion, and enrollment conversion rates.
- Analyze enrollment trends and recommend improvements.
School Support
- Provide coaching and support to school leadership on enrollment best practices.
- Ensure onboarding experiences are consistent across all schools.
- Assist with enrollment events, open houses, and community outreach.
- Collaborate with school teams to improve communication with prospective and current families.
Quality Assurance
- Conduct periodic audits of enrollment processes and customer service standards.
- Review family complaints and identify opportunities for continuous improvement.
- Create reports on enrollment metrics, retention, and family satisfaction.
- Recommend new processes that improve efficiency and consistency.
Vendor & Communication Support
- Coordinate with approved vendors to improve the family experience.
- Assist with communication initiatives, marketing campaigns, and enrollment messaging.
- Support technology platforms related to enrollment and family engagement.
Qualifications
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Experience in customer service, admissions, enrollment, or operations preferred.
- Ability to analyze data and identify trends.
- Comfortable learning and utilizing CRM systems and other technology platforms.
- Proficient in Microsoft Office and Google Workspace.
- Ability to travel between school locations as needed.
- Self motivated with excellent problem solving skills.
Preferred Experience
- Childcare, education, or early childhood experience.
- CRM or admissions management.
