Overview

We are seeking a dynamic and personable Front Desk Receptionist to be the welcoming face of our organization. The ideal candidate will possess strong organizational skills, technical proficiency, and a positive attitude to create a professional and inviting environment for clients, visitors, and team members alike. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems efficiently, directing calls accurately and professionally.
Handle all front desk duties including answering inquiries, scheduling appointments, and providing information about services.
Maintain organized filing systems, data entry records, and manage correspondence with precision.
Utilize productivity software such as Microsoft Office (Word, Excel) and QuickBooks for administrative tasks and record keeping.
Support office management activities including calendar management, supply ordering, and document proofreading.
Assist with clerical duties such as photocopying, faxing, and updating spreadsheets to ensure smooth office operations.

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, and data entry.
Familiarity with QuickBooks or similar accounting software is a plus.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Exceptional phone etiquette and customer service skills; bilingual abilities are highly desirable.
Demonstrated ability to handle phone communication professionally while maintaining confidentiality.
Previous experience in front desk or receptionist roles preferred; personal assistant experience is advantageous.
Ability to manage time effectively and prioritize tasks to enhance productivity.
