Front Office & Student Services Coordinator

Position Summary
Orion Institute is seeking a highly organized, professional, and dependable Front Office & Student Services Coordinator to support our students, graduates, clients, and daily campus operations.
This is a hands-on position that combines front office administration, student services, career services, graduate placement tracking, and administrative reporting. The ideal candidate is highly proficient in Microsoft Excel and the Microsoft Office Suite, has excellent attention to detail, enjoys working directly with students, and can effectively manage multiple responsibilities in a fast-paced educational environment.
Experience working in higher education, career education, student services, career services, or a related educational environment is strongly preferred.
Key ResponsibilitiesFront Office & Student Services
- Serve as a primary point of contact for students, graduates, clients, visitors, faculty, and staff.
- Provide professional and responsive customer service in person, by telephone, and through email.
- Assist students with general questions and connect them with the appropriate campus department.
- Support student onboarding, orientations, new class starts, and graduation activities.
- Assist with collection and maintenance of required student documentation.
- Prepare and complete graduation exit packets and schedule graduate exit appointments.
- Maintain organized and confidential student and administrative records.
- Provide general administrative support to campus leadership and other departments as needed.
Career Services & Graduate Placement
- Provide career services support to students and graduates throughout their transition into employment.
- Maintain regular communication and follow-up with graduates regarding employment status.
- Conduct and document graduate employment verifications with employers.
- Maintain accurate graduate placement records and supporting documentation.
- Assist graduates with job-search resources, resume preparation, interview readiness, and employment opportunities.
- Develop and maintain relationships with employers and community partners.
- Identify employment opportunities appropriate for graduates.
- Coordinate and assist with career fairs, job fairs, employer visits, recruiting events, and other career services activities.
- Assist with tracking graduate placement outcomes and preparing career services reports.
- Maintain documentation needed to support institutional and accrediting reporting requirements.
Reporting, Excel & Administrative Support
- Create, maintain, and update spreadsheets used for student services, graduate tracking, employment verification, placement outcomes, inventory, and other institutional functions.
- Accurately enter, organize, review, and maintain data using Microsoft Excel.
- Use Excel formulas, sorting, filtering, tables, and other spreadsheet functions to maintain accurate reports and trackers.
- Prepare reports and documentation using Microsoft Word, Excel, Outlook, and other Microsoft Office applications.
- Review information for accuracy and follow up on missing or incomplete documentation.
- Maintain organized electronic and physical records.
- Assist campus leadership with reporting, audits, accreditation preparation, and special projects as assigned.
Front Office Operations
- Assist with scheduling student massage clinic and esthetics appointments.
- Process payments and assist with front office transactions.
- Support retail store and inventory operations.
- Monitor student, clinic, office, and other supply inventory.
- Help ensure the front office and student-facing areas remain professional, organized, and welcoming.
QualificationsRequired
- High school diploma or equivalent.
- Strong proficiency in Microsoft Excel.
- Strong working knowledge of the Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Strong computer and data-entry skills.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Professional customer service skills.
- Ability to handle confidential student and institutional information appropriately.
- Ability to work independently while also collaborating effectively with a team.
Preferred
- Experience in higher education, career education, vocational education, or a postsecondary school environment.
- Previous experience in student services, career services, graduate placement, admissions, registrar support, or academic administration.
- Experience coordinating career fairs, job fairs, employer events, or recruiting activities.
- Experience communicating with employers and verifying employment.
- Experience maintaining reports, spreadsheets, databases, or student records.
- Experience working with a Student Information System (SIS), CRM, scheduling system, or similar software.

Schedule & Compensation
Employment Type: Full-Time
Work Location: On-site at Orion Institute in Perrysburg, Ohio
Pay: $20.00 per hour
Schedule may occasionally require flexibility to support orientations, graduations, job fairs, employer events, and other campus activities.
