Full Job Description

Position Summary

Legacy Nail Spa is seeking a friendly, professional, and dependable Receptionist to be the first point of contact for our clients. The ideal candidate will provide exceptional customer service, maintain an organized front desk, and ensure the salon operates smoothly. While the business owner is away, the Receptionist will serve as the acting manager and is responsible for overseeing daily salon operations, supporting staff, and ensuring all salon policies and procedures are followed.

Key ResponsibilitiesFront Desk & Customer Service

Welcome every guest with a warm, professional attitude.
Answer incoming phone calls, emails, and text messages promptly.
Schedule, confirm, and manage client appointments.
Check clients in and out using the salon’s booking system.
Process cash, credit card, and digital payments accurately.
Maintain a clean, organized, and welcoming reception area.
Offer refreshments and ensure every client has an exceptional experience.

Administrative Duties

Balance the cash drawer and complete daily sales reports.
Maintain client records and appointment history.
Monitor salon inventory and notify the owner when supplies need to be reordered.
Assist with marketing efforts, promotions, and social media updates as requested.
File paperwork and maintain accurate business records.

Acting Manager Responsibilities

When the business owner is not on-site, the Receptionist will serve as the Acting Salon Manager and will:

Oversee the daily operations of the salon.
Ensure all employees remain professional throughout their shifts.
Address customer concerns professionally and resolve issues when possible.
Enforce salon policies and procedures fairly and consistently.
Ensure the salon remains clean, organized, and operating efficiently.
Communicate any incidents, concerns, maintenance issues, or emergencies to the owner immediately.
Make reasonable operational decisions that are in the best interest of Legacy Nail Spa.

Team Support

Foster a positive, respectful, and welcoming work environment.
Assist nail technicians and other staff members as needed.
Encourage teamwork and maintain professional communication among employees.
Help train new front desk staff when assigned.

Qualifications

High school diploma or equivalent.
Previous receptionist, customer service, retail, or salon experience preferred.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Basic computer and scheduling software knowledge.
Professional appearance and positive attitude.
Ability to work independently and exercise sound judgment.
Dependable, trustworthy, and able to maintain confidentiality.

Arrive on time and maintain a professional appearance.
Provide outstanding customer service at all times.
Handle confidential client and business information with discretion.
Represent Legacy Nail Spa with integrity, professionalism, and respect.
Treat every client and team member with courtesy and kindness.
Be willing to work evenings, weekends, or holidays as needed.

Compensation

Compensation will be discussed during the interview and is based on experience and qualifications.
