Position Summary

We are seeking a highly organized and detail-oriented Billing Coordinator to join our team. This position plays a key role in supporting our accounting department and ensuring smooth financial and administrative operations across the company. The ideal candidate will be proactive, communicative, and ready to grow within the role.

Key Responsibilities

Billing & Financial Tracking

Accurately bill customers based on job-related data and work tickets.
Assist the Controller in tracking billable expenses across projects.
Enter payroll and expense data from work tickets into the accounting system.

Project Coordination & Communication

Coordinate with internal and external project stakeholders to troubleshoot issues, answer billing-related questions, and validate job expenses.
Track and update the status of bid and active projects within the accounting system.

Accounting Operations

Enter and categorize credit-card and fuel-card transactions.
Enforce company credit card policies (e.g., receipt submission) and report non-compliance.
Track and enter customer remittance information.
Record bank deposits on behalf of the Controller.
Support accounts payable entry as directed by the Controller or Office Manager.

Administrative Support

Greet visitors and answer incoming calls with a professional, customer-oriented attitude.
Facilitate communication across departments to support cohesive project and financial coordination.
