Job Overview
We are seeking a professional and organized Office Assistant/Receptionist to join our team. This role is essential in ensuring smooth office operations, providing excellent customer service, and maintaining an efficient front desk environment. The ideal candidate will possess strong administrative skills, be proficient with office software, and have experience managing multiple responsibilities in a fast-paced setting. Bilingual abilities and prior office management experience are highly valued to support diverse client interactions and administrative tasks.

Responsibilities

Greet visitors professionally at the front desk, providing exceptional customer service
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Handle data entry, filing, and document proofreading to ensure accuracy and organization
Maintain appointment calendars and schedule meetings using Microsoft Office and Google Workspace tools
Assist other team members with daily tasks
Support office management duties including supply inventory, mail handling, and general administrative support
Manage correspondence via email and phone, ensuring timely responses and follow-up
Perform clerical tasks such as typing, photocopying, and maintaining organized records
Uphold professional phone etiquette and ensure a welcoming environment for all visitors

Requirements

Proven experience in office administration or clerical roles; prior receptionist experience preferred
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Familiarity with multi-line phone systems and front desk operations
Ability to manage calendars, schedule appointments, and handle time-sensitive tasks efficiently
Excellent organizational skills with keen attention to detail; ability to proofread documents accurately
Bilingual abilities are a plus to serve diverse clientele effectively
Experience with QuickBooks or bookkeeping is desirable but not mandatory
Strong customer service skills with professional phone etiquette and interpersonal communication abilities
Ability to multitask effectively in a busy office environment while maintaining professionalism and composure
