Full Job Description

MADISON CONSOLIDATED SCHOOLS

Position Title: Administrative Clerk: School Bookkeeper

Reports to: Principal and Assistant Principal

FLSA: Non-exempt

Summary of the position: To ensure the smooth and efficient operation of the school office so that the office’s maximum positive impact on the education of children can be realized.

Qualifications: Six months to one year of related experience and/or training; or equivalent combination of education and experience. High School diploma. Ability to prepare written reports and correspondence. Skills in human relations. Ability to plan and organize; good work habits. Ability to type accurately at a minimum speed of 50 words per minute. Employee should also be able to use the machines, tools, equipment, and work aids which may be representative, but not all inclusive, of that commonly associated type of work, i.e., calculator, forms, ledgers, schedules and computers. Able to be bonded. Other qualifications as deemed desirable by the School Board.

Supervises: None

Essential Duties and Responsibilities:

Performs the necessary office routines and practices associated with a busy, yet productive and smoothly run school office.
Maintains such student records as shall be required.
Receives and routes incoming and outgoing calls and written communications.
Maintains absence affidavits and helps secure substitutes.
Assists teachers in preparing instructional materials as directed by the principal.
Attends to ill and injured students.
Types correspondence, forms, reports, certificates, etc.
Assists with withdrawals and enrollments.
Completes reports in a timely manner.
Collects, counts, and deposits all money.
Prepares purchase orders as assigned by the building administrator.
Investments.
Prepares bid lists, receives and distributes.
Processes bid lists, receives and distributes.
Orders supplies.
Maintains appropriate records and files as appropriate.
Pays all necessary claims.
Other duties as assigned by the building administrator.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
