Full Job Description

Position Summary

The Accounting & HR Specialist plays a critical role in maintaining accurate financial records, supporting payroll, managing HR functions, and improving office operations. This role supports our CEO and ensures our business continues to run smoothly, efficiently, and in alignment with ISO/IEC 17025 standards.

The ideal candidate is detail-oriented, trustworthy, and comfortable working in a fast-paced service environment.

Responsibilities

Accounting & Finance

Enter vendor bills, process AP, and prepare weekly payment batches.
Create and send customer invoices; reconcile AR and follow up on outstanding balances.
Maintain accurate financial entries in NetSuite.
Reconcile bank and credit card accounts; ensure receipts and coding are complete.
Assist with month-end close and financial reporting tasks.
Track mileage, reimbursements, vendor W-9s, and support 1099 year-end prep.

Human Resources

Support recruiting efforts (job postings, screening, interview scheduling).
Handle new hire onboarding, employment records, and benefits coordination.
Assist with payroll prep (verifying hours, deductions, PTO, etc.).
Maintain confidential HR files and ensure compliance with TN and federal labor laws.
Track certifications, training deadlines, and HR documentation for ISO compliance.

Office & Administrative Support

Manage digital and physical filing systems for accounting and HR documents.
Support internal audits and ISO recordkeeping as needed.
Assist with supply management, scheduling, and general office coordination.

Qualifications

2–5 years of experience in accounting, bookkeeping, payroll support, or HR administration.
Familiarity with NetSuite, QuickBooks, or similar ERP/accounting systems preferred.
Working knowledge of HR best practices, employee files, and payroll compliance.
Strong proficiency in Excel, Office 365, and digital file organization.
Ability to maintain strict confidentiality and follow internal controls.

Excellent communication, organization, and follow-through skills.
