Building Materials & Construction Supply Showroom

Position Overview
We are seeking an experienced Office Manager / Bookkeeper to oversee the administrative and financial operations of our construction supply showroom. This role is responsible for bookkeeping, accounts payable and receivable, customer invoicing, vendor management, office administration, and sales support.
The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced environment serving contractors, builders, remodelers, designers, and homeowners. Experience in construction, building materials, wholesale distribution, or showroom operations is strongly preferred.
Key Responsibilities
Bookkeeping & Financial Administration (Primary Focus)
- Manage daily bookkeeping functions using QuickBooks and other business software.
- Process accounts payable & vendor invoices.
- Manage accounts receivable, customer invoicing, collections, and payment tracking.
- Create accounts receivable & payable aging reports to go over and present to leadership.
- Assist with employee records help manage employee schedules and time off.
- Maintain accurate sales tax records and assist with tax reporting.
Office Management & Administration
- Oversee daily office operations and administrative procedures.
- Manage incoming calls, emails, and customer inquiries.
- Coordinate schedules, meetings, deliveries, and vendor appointments.
- Maintain office supplies, showroom materials, and company records.
- Create and improve office processes and operational efficiencies.
- Organize digital and physical filing systems.
- Support hiring, onboarding, and employee administration as needed.
Showroom & Sales Support
- Support the sales team with order entry, quotations, and customer documentation.
- Prepare customer invoices and purchase orders.
- Coordinate with suppliers, manufacturers, and freight companies regarding shipments and delivery schedules.
- Assist with inventory tracking and product ordering.
- Help maintain showroom displays, product literature, and pricing updates.
- Provide professional customer service to contractors, builders, designers, and walk-in customers.
- Resolve order discrepancies and assist with customer follow-up.
Qualifications
Required
- 3+ years of office management, bookkeeping, accounting, or administrative experience.
- Strong knowledge of Accounts Payable, Accounts Receivable, and general bookkeeping practices.
- Experience with QuickBooks or similar accounting software.
- Strong Microsoft Excel and Office Suite skills and Google Suite skills.
- Excellent organizational and multitasking abilities.
- Strong communication and customer service skills.
- High level of accuracy and attention to detail.
Preferred
- Experience in masonry/construction, building materials, home improvement, distribution.
- Knowledge of purchase orders, job costing, inventory management, and contractor billing.
