Full Job Description

Role Purpose

The Events & Administrative Coordinator is a full-time, external-facing role at Slow Pour Supply, responsible for planning and executing events while providing professional and responsive administrative and customer support. The Coordinator serves as a primary point of contact for retail customers, wholesale partners, event partners, and external event project managers, and takes ownership of event logistics from concept through post-event reporting. This role calls for clear and professional communications, a service-oriented approach, and the ability to manage competing priorities and meet deadlines. Working closely with our team, this role contributes to delivering an exceptional customer experience and supports the growth of our company and the specialty coffee community.

Key Responsibilities

Events Management (40%)

Coordinate planning and execution of public events, including competitions, sponsorships, tradeshows, and educational classes.

● Serve as the primary point of contact for event partners and external event project managers, coordinating timelines, logistics, and deliverables.

● Manage scheduling, registration, and intake processes, ensuring a smooth experience for all participants.

● Source, negotiate with, and manage vendors, venues, and event-related contractors.

● Develop event budgets, track expenses, and reconcile costs against projections.

● Anticipate and resolve on-site logistical issues quickly and calmly under pressure.

● Coordinate event marketing and promotional materials with the marketing team.

● Conduct post-event debriefs and reporting to evaluate outcomes and inform future planning.

Customer Service & External Communications (30%)

Serve as a key contact point for customer service support with retail and wholesale clients through our digital platforms.

● Provide helpful information, answer product questions, offer solutions, guide customers through the ordering process, respond to complaints, create and invoice orders in a timely manner.

● Adjust open orders as needed, including cancellations, updating products on orders, exchanges, or holding fulfillment using our shipping platforms.

● Communicate professionally and proactively with external partners, vendors, and event stakeholders to synchronize information and maintain strong relationships.

● Conduct proactive customer outreach by collecting and analyzing customer feedback and reviews.

● Provide daily and rapid responses to chats, emails, and inquiries.

Administrative Support (30%)

Data entry and maintenance of accurate records, including schedules, event calendars, and inventory records using SAP and other software.

● Support senior staff with documentation, reporting, and event contracts.

● Manage and maintain an effective intake and scheduling structure for events and class participants.

● Perform other job responsibilities as assigned.

Competencies

● Minimum 3 years of events planning and execution experience, including vendor negotiation and on-site execution, is required.

● Ability to work under pressure, manage competing deadlines, and adapt quickly when plans change.

● Excellent communication and interpersonal skills, both verbal and written in English.

● Able to represent Slow Pour Supply confidently and professionally at tradeshows and events.

● Cost-conscious, highly organized, and efficient with attention to detail; able to balance multiple tasks while staying organized.

● Able to work independently, investigate and find the root cause of issues, and follow through with corrective actions.

● Comfortable communicating with external vendors, partners, and project managers to resolve issues.

● Ability to work as part of a team and contribute to a safe and healthy working environment.

● Proficiency with Microsoft Office Suite, Mac OS, and project management tools required; able to quickly learn new digital platforms.

● Flexibility to travel to events and stand for up to several hours during event setup and execution.

● Ability to lift items weighing up to 40 lbs.

● Understanding of product supply and event logistics.

● Bilingual in Spanish is a plus.

Candidate Should Possess

● A love for people, events, and a curiosity for coffee!

● Works collaboratively and stays composed under pressure and tight timelines.

● 3+ years of experience managing events, ideally within hospitality, retail, or a related industry.

● Proficiency in various digital tools and platforms, including Microsoft Office Suite, Mac OS, data entry or project management platforms, Instagram, and Facebook.

● Previous customer service and/or hospitality experience.

● Previous shipping and/or inventory management experience is a plus.

Compensation
From $44,000 - $58,000 per year, adjusted based on the candidate’s experience.

Schedule

Monday – Friday, Full-time. Occasional evening/weekend availability required to support event timelines.
