Full Job Description

Position Summary:

The Banquets Manager oversees the hosting of banquets to provide guests with an excellent experience. The duties include consulting with the Food and Beverage General Manager, Director of Sales, Sales Associate, Banquet Chef and other members of the management team to determine the number of service staff and executing the layout and setup of venues. Your duties will include controlling labor costs, service pars, quality of services, setting up the venue space and executing details of the event. The Banquet Manager ensures that guests receive a level of service that exceeds expectations. This position will oversee all events contracted by Southern Hotel and The Greenwood. This position reports directly to the F&B General Manager and Hotel General Manager.

Duties and Responsibilities:

Understand and follow what is stated in sales contracts and Banquets Event Orders (BEOs)
Hire, train, retain and discipline service staff
Contacting temp staff agency when necessary
Coaching staff performance and conducting performance reviews
Attend BEO meetings to discuss upcoming events - be prepared to ask questions and take notes
Schedule and plan staff assignments prior to staff arrival per labor and service standards - this includes events put on by Southern Hotel as well as contracted events
Complete pull sheets and give to event captain prior to start of event
Type and print menus for seated dinners using branded formats and fonts
Execute the proper layout for each event
Introduce yourself to the host and/or VIP of event before the event starts - this gives you an opportunity to run through the timeline of the event and clarify any potential issues
Check in on event staff and be prepared to offer support where needed
Coordinate timing and special request with the Banquets Chef or Kitchen Management prior to event start time
Once an event concludes send out consumption sheets or any additional charges to the Sales Department
Tracking requisition sheets and consumptions
Oversee banquet inventory and communicate ordering needs in advance to F&B General Manager and or Hotel General Manager - complete inventory in a timely manner
Oversee banquet uniforms distribution and collection. Also, uphold uniform standards prior to shift arrival for Banquets Team
Sign off on closing duties before the staff leaves
Work closely with the Sales Department on ways to maximize revenue opportunities
Provide accurate feedback to the Sales Department once an event concludes - this typically happens during BEO recap
Ensure Banquets Teams upholds Southern Hotel standards and policies
Review and submit time punch records and gratuities timely for payroll purposes
Maintaining and cleaning of equipment, event spaces, back of house areas for events, chairs, tables, linens, etc
Proficiency in Audio Visual equipment on property and be able to troubleshoot any issues
Maintain up to date certifications such as Responsible Vendor cards for the Banquets Team
Communicate broken equipment, necessary repairs to the Maintenance Department
Effectively communicate with Housekeeping Department on cleanings of event space
Coordinate and communicate with hosts, vendors prior to event set up and once an event concludes via email, phone, etc
Respond to emails and other communications in a timely manner
Additional duties and responsibilities may be assigned
